About The Position

This role serves as a key support function within the branch, handling customer inquiries, processing orders, managing inventory, and performing general office administration. The specialist will be the first point of contact for various customer needs, including billing, shipments, and equipment service, and will also play a crucial role in supporting company events and maintaining office operations.

Requirements

  • Excellent customer service skills.
  • Basic knowledge of Hiossen products.
  • Proficiency in MS Office (Word, Excel & Power Point).
  • Proficiency in Pipeline, ERP system and other applicable Hiossen software and systems, as required.
  • Knowledge of Hiossen bar code system in conjunction with ERP system and other tracking procedures.
  • High School Diploma required.
  • At least 2 years of successful experience as an administrative assistant in a sales office environment.
  • Ability to read, write, understand and communicate clearly with employees, customers and within Hiossen.
  • Ability to satisfactorily read, interpret, prepare reports and other job related information and satisfactorily communicate information within the scope of Administrative Assistant's job duties.
  • Sufficient aptitude to learn aspects of Hiossen products to accurately and effectively communicate information to Hiossen customers.
  • Required to maintain product knowledge at all times.

Responsibilities

  • Answer incoming calls, emails, and faxes from dentists and dental personnel; handle inquiries and provide product information to ensure excellent customer service.
  • Handle product returns, credits, and claims; ensure proper account crediting in accordance with Hiossen procedures.
  • Serve as the first point of contact for billing, shipment, and equipment repair/service inquiries; escalate and coordinate with HQ support departments as needed.
  • Maintain working knowledge of all Hiossen products, policies, and procedures.
  • Process daily product orders including pulling stock, scanning barcodes, and coordinating with the Sales team.
  • Coordinate and track branch warehouse inventory and stock records.
  • Prepare and submit reports as directed by the Regional Sales Director or Branch Manager.
  • Register attendees and assist with logistics for AIC seminars (Basic Implant Training) and promotional events.
  • Arrange meals, refreshments, and documentation in conjunction with seminars and learning events.
  • Provide and promote current ongoing AIC course and product promotion info during phone and email interactions with dentists and dental personnel.
  • Manage office supplies and handle general office administrative duties including filing, correspondence, and scheduling.
  • Work collaboratively with Hiossen Finance, Corporate, Branch, and Regional offices.
  • Perform other related duties as assigned.
