About The Position

Paramount Prints, a subsidiary of F. Schumacher & Co., is an in-house hand-screened and digital printing studio with two facilities: Brooklyn Navy Yard (digital production) and Passaic, New Jersey (hand-screened and digital production). They manage the entire production process, from screen making and file work to raw materials, printing, new product development, and shipping, primarily serving their parent company and B2B customers. This end-to-end control ensures an eco-friendly process, design flexibility, and quality control. The company values a custom, hands-on approach, refining processes at every step. The ideal candidate is detail-oriented, dependable, organized, responsive, and clear in communication, understanding the importance of accuracy in a production environment. They should be proactive in identifying and flagging issues and eager to learn the craft environment.

Requirements

  • 1 to 3 years of experience in customer service, order coordination, or operations support, ideally in a B2B or manufacturing environment.
  • High attention to detail and a systematic approach to data entry, tracking, and follow-up.
  • Clear and professional written and verbal communication, comfortable corresponding with client contacts at procurement and operations level.
  • Proficiency with standard business tools including email, spreadsheets, and shared file systems.
  • Interest in using AI to improve productivity.
  • Reliable and organized; able to manage multiple open orders or tasks simultaneously without losing accuracy.
  • Collaborative and low-ego; comfortable asking questions and escalating when needed.

Nice To Haves

  • Exposure to order management or ERP systems in a prior role.
  • Familiarity with invoicing or basic accounts receivable processes.
  • Bilingual in English and Spanish.

Responsibilities

  • Manage customer communications across the order lifecycle, acting as a point of contact for client procurement and operations teams.
  • Provide timely and accurate updates on order status and delivery timelines, escalating any changes promptly.
  • Enter client purchase orders into the system, verifying details against source documents and flagging discrepancies.
  • Prepare invoices for completed orders, ensuring accuracy against production and shipment records.
  • Support the resolution of client billing questions to accelerate revenue recognition.
  • Coordinate with the Director of Production Planning, Production Manager, and Shipping Manager to relay information between internal teams and clients regarding order status, priorities, and delivery timelines.
  • Assist with day-to-day administrative tasks for the Passaic facility, including facility maintenance and coordination of operational needs.
  • Maintain accurate client account information, order histories, and contact details in the system.
  • Support the onboarding of new accounts as directed.
