About The Position

This position provides professional administrative support to the troop or section office and may include management of multiple budgets, procurement management, grant management, multi-agency task force overtime and overtime tracking, and inventory management. The role functions as an office manager, working independently with minimal supervision. The position develops internal processes, internal planning documents, and supports internal operations. It may involve assigning tasks, monitoring progress and workflow, checking work products, and establishing business unit work standards. Additionally, it provides program support to all business units within the work unit, which may include case file and electronic document management.

Requirements

  • Four (4) years of professional administrative, clerical, or office support experience supporting an individual, team, program or organization.
  • OR A combination of related education and/or professional administrative, clerical, or office support experience supporting an individual, team, program or organization equal to four (4) years.
  • Must be a Colorado resident at the time of application.
  • Requires successful completion of a background investigation that includes a polygraph exam, a fingerprint based criminal history search and drug testing.
  • Demonstrated organizational skills and attention to detail.
  • Ability to manage multiple assignments, prioritize competing deadlines, and maintain accurate records.
  • Demonstrated written and verbal communication skills.
  • Ability to research, compile, track, and summarize information from multiple sources.
  • Ability to maintain confidentiality and appropriately handle sensitive or restricted information.
  • Proficiency with Microsoft Office applications, including Word and Excel.
  • Ability to establish and effective working relationships with internal and external stakeholders.

Responsibilities

  • Oversees and ensures that office administration functions of the business unit are effectively carried out.
  • Performs technical, complex, and/or specialized office support work requiring independent judgment, technical skills, and detailed knowledge of unit-specific activities and procedures.
  • Serves as a notary public as needed.
  • Acts as a liaison between the business unit and external partners, other staff, and field units for information sharing.
  • Manages unit records and files, maintaining compliance with all retention requirements.
  • Responsible for the upload of agency law enforcement records and/or responding to requests from district attorney offices throughout the state.
  • Responsible for the CARS system, if assigned, to generate monthly utilization and maintenance reports on all vehicles assigned to the business unit.
  • Coordinates with supervisors to ensure vehicles are scheduled for maintenance.
  • Ensures NIBRS entries are entered in a timely manner.
  • Communicates appropriately with members, internal, and external partners using any available format.
  • Writes necessary reports that are complete, accurate, appropriate, and timely.
  • Demonstrates an awareness of the cultural diversity of the community.
  • Prepares and manages the unit budget(s) in conjunction with the troop or section commander.
  • Manages, monitors, and provides reporting on or support for grant awards as needed.
  • Ensures adherence to state fiscal rules and maintains a precise accounting of all budget allocations.
  • Periodically reviews the unit budget, makes expenditures when necessary with approval, and ensures all expenditures are reconciled monthly.
  • Reviews all financial transactions for completeness and accuracy using system software (CORE).
  • Ensures the commander(s) is kept informed of all budgetary issues and obtains prior approval before making expenditures.
  • Monitors expenditures to ensure they do not exceed existing budget allocations.
  • Coordinates all travel arrangements for the business unit as requested.
  • Ensures the proper use of any state-issued credit card(s) within the business unit.
  • Maintains adequate supplies/equipment to facilitate day-to-day operations.
  • Initiates and completes the majority of all purchasing requests, vouchers, and documents.
  • Assists troop and section Commanders with projects of various complexity.
  • Completes projects on-schedule and ensures a high margin of accuracy and attention to detail.
