Job Description Summary The CS/Sales/Catering Coordinator will coordinate services for clients and in-house guests and provide administrative support for the Sales, Catering and Conference Services Department. They will assist in executing the sales/catering/conference services strategy of the hotel, as defined by the Director of Sales. The CSSCC will be required to perform general administrative duties not limited to compiling/updating reports as needed, various Conference Services tasks and assist Sales Team with daily tasks. Job Description DUTIES AND RESPONSIBILITIES: · Deliver on the promise of Sonesta Service in all interactions with guests and clients. Manage according to the Sonesta G.U.E.S.T. standards and instill a passion for customer service in all associates of the hotel. · Conference Services duties will include distribution of daily event report and daily change log; will manage the BEO book and weekly BEO distribution; handle all in-house BEOs and meeting requests; contact clients to obtain guarantees for events and other various tasks. Assist with the Pre-Check of meeting space for site visits. May coordinate outside vendor service’s needs (floral displays, audio/visual, etc.) where appropriate. Regularly follow-up to ensure set-u requirements meet client needs. · Assist Conference Services Director with daily tasks. · Assist sales team members on Site Inspections · Work in Canva platform creating Flyers & Collateral · Detail all wedding room blocks · Order paper & supplies for Department as needed · Create PO’s & enter all department purchases in Checkbook · Attend weekly pick up meeting and report on relative pick up for wedding room blocks · Work in Passkey Reservation System – create booking links & update accordingly · Issue and process all overnight gift certificate requests · Sales duties will include assisting the sales team and DOSM with daily tasks and serving as FDC Lead Coordinator, · Promote teamwork through daily communication and coordination with other departments to facilitate the quality of services agreed upon by the Sales Office and prospective clients. · Perform other duties as assigned (guest room tours, property tours, special guest request, answering phones and routing to appropriate sales/catering staff, handling of mail, faxes, etc.) Additional Job Information/Anticipated Pay Range QUALIFICATIONS AND REQUIREMENTS: · High School diploma or equivalent required; some college preferred · 2+ years in hotel CS/Sales/Catering department preferred. · Ability to speak, read, and write fluent English; other languages beneficial. · Professional verbal and written communication skills. · Mathematical skills, including basic math, budgeting, profit/loss concepts, percentages, and variances. · Problem solving, reasoning, motivating, organizational and training abilities. · Experience with Delphi, Passkey, Microsoft Office and Opera systems preferred.
