Requirements

  • 2+ years of project management experience, ideally in an agency or with creative teams.
  • A track record of running multiple concurrent projects across print, digital, video, and content.
  • Knowledge of Asana (or a comparable project management platform) and the discipline to keep it accurate.
  • Ability to create workflows from scratch: mapping a process, documenting it, and getting a team to adopt it.
  • Understanding of where creative work meets onsite production, and familiarity with onsite production elements such as staging, AV, scenic, and show execution.
  • Experience with content development and creative ideation strategies, with the ability to help shape the idea, not just schedule it.
  • Budget management skills, including estimating, tracking hours, processing invoices, and reporting against scope.
  • Excellent communication and the ability to build trusted relationships with internal teams, clients, and vendor partners.
  • Composure and professionalism under tight deadlines and fast-changing priorities.
  • Extraordinary attention to detail, in the work and in the follow-through.
  • Proficiency in Microsoft Office and Adobe Acrobat.

Nice To Haves

  • Event industry experience, such as corporate events, incentives, production, or experiential marketing.
  • Working knowledge of print production guidelines and press check terminology.

Responsibilities

  • Own project intake, scoping, and kickoff for creative work, with clear briefs, deliverables, and dates, in partnership with account teams and creative leads.
  • Own meeting cadence, working with Logistics to get on client calendars and scheduling internal meetings with ICRs.
  • Build and drive project schedules across print, digital, content, video, and animation workstreams, from concept through final delivery.
  • Direct content and asset flow between account management, creative teams, and clients, including reviews, routing, approvals, and version control.
  • Run all active projects inside our project management system, keeping status, priorities, and capacity visible to the team and to leadership.
  • Coordinate handoffs across departments for estimation, production, fulfillment, and onsite delivery so nothing falls in the gaps between teams.
  • Manage project budgets: build estimates with team leads, track hours and materials against scope, process invoices, and flag scope creep early before it becomes a margin problem.
  • Plan resourcing with discipline leads, determining the hours and materials each project needs and balancing workload across concurrent programs.
  • Oversee print production coordination, including vendor timelines, proofing, and press checks.
  • Manage the intersection of creative and onsite production, coordinating how creative deliverables translate to the live environment (staging, scenic, AV, screen content, signage, and show flow) and tracking production elements through onsite delivery.
  • Be onsite for assigned events to coordinate changes to scripting, content, and flow, and to project manage creative needs onsite.
  • Contribute to content development and creative ideation: participate in brainstorms, help shape session content and program narratives, and bring structure to ideation strategies so good ideas become executable plans.
  • Create, document, and continuously improve the workflows, templates, and systems that help this team scale.
