About The Position

Museum of Ice Cream (MOIC) is seeking a hands-on Creative Producer to lead the production of immersive brand activations. This role will be responsible for turning approved creative ideas into exceptional physical experiences, managing production from concept through fabrication, installation, launch, and closeout. The primary focus will be a major Miami cultural activation in December, with support for three additional brand activations across the portfolio. This mid-level individual-contributor role requires someone who understands the intricacies of experiential production, can manage vendors and budgets, translate creative intent into production requirements, anticipate risks, and ensure seamless execution in collaboration with internal teams, partners, and museum operations.

Requirements

  • 4–6 years of hands-on experience producing experiential marketing activations, branded installations, pop-ups, events, retail environments, museums, or other physical consumer experiences.
  • A portfolio or case studies demonstrating personal ownership of complex, high-quality activations from planning through onsite execution.
  • Experience managing several concurrent projects with fixed launch dates, multiple stakeholders, and meaningful external partner expectations.
  • Strong vendor-management experience across fabrication, graphics, environmental production, events, installation, and logistics.
  • Working knowledge of production budgets, estimates, purchase processes, change orders, and cost reconciliation.
  • The ability to read floor plans, elevations, dimensions, specifications, and basic technical or shop drawings.
  • Excellent organization, communication, and judgment, with the confidence to drive follow-up, make recommendations, and escalate risk clearly.
  • Availability for regular domestic travel and onsite work, including evenings or weekends when required for installation, launch, or live activation support.
  • Candidates must be located in Miami, New York City, Chicago, or Boston.

Responsibilities

  • Lead assigned activations from creative approval through sourcing, fabrication, installation, live operation, and strike or handoff.
  • Build detailed scopes, workbacks, budgets, responsibility matrices, production schedules, and launch-readiness checklists.
  • Translate creative concepts and partner commitments into clear technical requirements, deliverables, vendor briefs, and onsite execution plans.
  • Identify, brief, and manage fabricators, printers, installers, rental companies, venues, caterers, and other production partners.
  • Obtain and reconcile estimates, purchase requirements, and change orders; track committed and forecasted spend against approved project budgets.
  • Coordinate samples, proofs, materials, dimensions, floor plans, technical drawings, shipping, site access, loading, deliveries, and installation logistics.
  • Keep schedules, production decks, budgets, decisions, specifications, vendor details, and project status current in shared systems.
  • Create a clear operating rhythm within Marketing across Creative and Brand Partnerships, and cross-functionally with Experience Design, museum Operations, external partners, and vendors.
  • Track contractual deliverables and approvals with Brand Partnerships, flag scope changes, and ensure production stays aligned with approved creative and partner expectations.
  • Lead or support site visits, installs, technical rehearsals, activation launches, and issue resolution in market.
  • Surface schedule, cost, quality, safety, and operational risks early, recommend solutions, and escalate decisions with enough time to act.

Benefits

  • Hourly pay between $65/hr-$75/hr
