The Arc Oneida-Lewis is seeking a Coverage Coordinator to join our Residential Services team! As a Coverage Coordinator, you will play a critical role in ensuring appropriate staffing coverage across our residential programs. Working closely with Residential Leadership, you will coordinate schedules, fill open shifts, maintain staffing plans, and help ensure the health, safety, and well-being of the people we support. This position is ideal for someone who enjoys organization, communication, and problem-solving while making a meaningful impact behind the scenes.

Requirements

  • Associate's Degree and two (2) years of experience working in an OPWDD residential setting; OR High School Diploma or GED and three (3) years of experience working in an OPWDD residential setting.
  • Strong organizational and time management skills.
  • Excellent communication skills with the ability to communicate effectively by phone, email, text, and in writing.
  • Proficiency with Microsoft Office and scheduling/timekeeping systems.
  • Ability to work independently while collaborating effectively with a variety of team members.
  • Ability to travel between locations and meet Agency qualifications to operate Agency vehicles.
  • Flexibility to work occasional evenings, weekends, and on-call assignments as needed.

  • Administrative Assistant experience.
  • Experience with employee scheduling, workforce coordination, or staffing management.

Responsibilities

  • Coordinate staffing coverage for residential homes using established staffing plans.
  • Develop and maintain weekly coverage schedules, identifying filled and vacant shifts.
  • Communicate staffing needs and coverage updates with Residential Leadership.
  • Serve as the primary contact for filling vacant shifts and maintaining communication with per diem and float staff.
  • Utilize approved communication systems to advertise and fill open shifts.
  • Maintain staffing records and coverage documentation accurately and timely.
  • Assist Residential Leadership in monitoring staffing needs and arranging coverage while minimizing overtime whenever possible.
  • Maintain leave calendars and assist with time-off coordination to ensure adequate staffing levels.
  • Participate in staffing plan reviews and help implement coverage processes and systems.
  • Ensure required payroll documentation related to differentials, paid-to-sleep shifts, and other staffing adjustments is submitted accurately and on time.
  • Participate in administrative meetings, trainings, committees, and other agency initiatives as assigned.
  • Assume on-call responsibilities as assigned and respond to staffing needs that may arise during evenings or weekends.
  • Promote confidentiality, compliance, safety, and all Agency policies and procedures.
