About The Position

Under general direction of the Camp Verde Magistrate and supervision of the Court Administrator, this position performs legal and administrative tasks in support of municipal court operations and processes. This position understands public trust and models the highest standards of personal and professional integrity expected of those working in public service. This position is expected to provide the highest level of customer service consistent with the Town’s Customer Service Standards. Every Town Employee is expected to follow the Town Core Values by setting the P.A.C.E. (Professionalism, Accountability, Community and Excellence). DISTINGUISHING CHARECTERISTICS: Court Specialist I: This is the entry/full journey level class within the Court Specialist series. Employees within this class perform the full range of duties within the assigned division and may be preceded by a moderate learning period. Employees at this level receive only occasional instruction or assistance as new or unusual situations arise, and are fully aware of the operating procedures and policies of the work unit. Court Specialist II: This is the full journey level class within the Court Specialist series. Employees within this class perform the full range of duties within the assigned division. The position demands a high degree of accuracy, attention to detail, inter-departmental cooperation and communication. The Court Specialist II class is distinguished from the Court Specialist I class based on the work performed in the courtroom and higher level clerical work assigned. Court Specialist III: This is an advanced journey level in the Court Specialist series. Employees at this level are fully trained in all areas of the division they are assigned. Positions at this level are distinguished from the other class in this series by the level of responsibility assumed, the complexity and variety of duties that may be assigned, and the level of independence expected. Employees perform the most difficult and responsible types of duties assigned to classes in this series. This level is used for the position that is assigned the responsibilities of reviewing, auditing and monitoring work product for completion, accuracy, and productivity in accordance with established performance expectations and time requirements.

Requirements

  • Must possess State of Arizona Driver's license
  • Some incumbents may be required to obtain specific technical certifications.
  • Required Knowledge of: Town, County and/or state government.
  • Court or legal terminology, functions, operations, services, or activities.
  • Court or legal rules, statutes, concepts, pleadings, and/or procedures.
  • Accepted bookkeeping and accounting procedures and principles.
  • Modern office procedures, practices, equipment, and software.
  • Microsoft Word, Excel, and Outlook.
  • Principles and practices of scheduling appointments and managing calendars.
  • Foundation of fiscal, statistical, accounting, and administrative collection and reporting.
  • Judicial Code of Conduct.
  • Minimum Accounting Standards (MAS).
  • Ability to: Possess a high level of integrity and sense of ethics.
  • Handle multiple cases or issues at the same time, while ensuring accuracy and completion.
  • Make independent decisions following established procedures, manuals, and codes.
  • Apply legal terminology pertinent to court activities and procedures.
  • Communicate clearly, concisely, and professionally in both spoken and written forms.
  • Use the Court’s Case Management System (CMS) proficiently and accurately.
  • Enter large amounts of data accurately and in a timely fashion.
  • Make decisions, maintain composure and professionalism, and work effectively under stressful conditions and a high volume of interruptions.
  • Independently perform courtroom duties and functions.
  • To handle large cash transactions and make basic mathematical calculations.
  • Prepare and maintain dockets and calendars.
  • Organize work using checklists and docket control.
  • Control cash, logging, tracking, depositing, and fund breakdown of payments.
  • Demonstrate superior, seamless customer service, integrity, commitment to innovation, efficiency, and fiscal responsibility.
  • Satisfy Arizona Supreme Court’s required continuing education mandates annually.
  • Operate a motor vehicle with a valid driver’s license and a good driving record.
  • High school diploma or GED equivalent; AND one year of customer service or administrative experience; OR 1 year cash-handling experience; OR an equivalent combination of education and experience.

Responsibilities

  • Performs a variety of technical and complex functions, with discretion and impartiality, to assist in the administration and operations of the Court.
  • Communicates with litigants, attorneys, prosecutors, jails, and the public.
  • Provides excellent, high-level customer service.
  • Prepares and processes cases such as misdemeanors, civil traffic, parking violations, and other civil matters in compliance with legal requirements and procedures, from inception to completion.
  • Tactfully and courteously deals with internal and external customers and judicial partners, responding to and resolving difficult and sensitive inquiries, requests, and complaints concerning processes, procedures, and regulations or laws.
  • Creates and maintains all physical and electronic case files and records.
  • Prepares, proofreads, processes, and distributes a variety of documents including, convictions, correspondence, judgments, orders, trial notices, summons, subpoenas, and arrest warrants.
  • Compiles and creates case files, records, and supporting documents for court action.
  • Exercises and applies independent decision-making on granting diversion programs, time payment plans, and case status.
  • Makes appropriate decisions based on knowledge of State and Town Codes, Court procedures, and standards from the Arizona Administrative Office of the Courts (AOC).
  • Creates, updates, and maintains electronic records for all Litigants, Officers, Attorneys, and Victims.
  • Serves as a front-line Court liaison via phone, email, and in-person, exemplifying excellent customer service.
  • Performs file management functions including alphabetical and numerical case filing, tracking case files, matching documents to cases, and researching records.
  • Maintains a professional, positive, and helpful attitude to promote trust and respect.
  • Supports and performs courtroom-related services and duties.
  • Records proceedings.
  • Assists in all office processes.
  • Ensures proper documents, policies, and operations are followed to ensure legal integrity and adherence with State Statutes, case law and rules, and court procedures.
  • Performs bookkeeping tasks such as daily financial tasks include two reconciliations and bank deposit preparation, daily receipts, records, and issue receipts for collected court fines/fees/bail.
  • Provides services, while self-monitoring and controlling workloads, priorities, and deadlines.
  • Learns and uses multiple outside software and databases.
  • Performs other related duties as assigned or required.
