About The Position

Under direction of the Court Executive Officer, Assistant Court Executive Officer, and/or Operations Manager, this position supervises an operational unit of the Court and performs other related duties as required. This position is "at-will" and FLSA non-exempt. The Court Operations Supervisor serves as a first line supervisor on a daily basis over a recognized operational division or divisions of the Court (Civil, Criminal, Traffic or Collections) and advises the Court Executive Officer, Assistant Court Executive Officer, and/or Operations Manager on staffing, personnel and unit needs and concerns.

Requirements

  • High school diploma or equivalent.
  • Five (5) years of legal clerical experience, which includes at least one (1) year performing legal processing, courtroom support, or other similar work in a court setting.
  • At least two (2) years of experience in a lead or advanced role.
  • Knowledge of supervisory principles, practices and methods related to selection, evaluation and supervision of subordinates
  • Knowledge of techniques for training, developing and coaching staff
  • Knowledge of the functions and operating procedures of California Trial Courts
  • Knowledge of Statutes relating to court legal process and court clerical procedures, including the Code of Civil Procedure, Penal, Civil, Probate, and Vehicle Codes
  • Knowledge of Court policies and procedures
  • Knowledge of Legal process and/or collections procedures
  • Knowledge of Legal terminology
  • Knowledge of Basic mathematics and financial record keeping procedures
  • Knowledge of Statistical development and analysis
  • Knowledge of Correct use of the English language including spelling, punctuation, and grammar
  • Knowledge of Modern office practices
  • Ability to interpret and apply state statutes, local ordinances, local court rules and procedures pertaining to court processes
  • Ability to supervise subordinate employees, including employee development and motivation, discipline and counseling
  • Ability to demonstrate effective leadership
  • Ability to demonstrate independent judgment
  • Ability to train, develop, coach and provide feedback to assigned staff

Responsibilities

  • Plan, assign, supervise, coordinate, review and evaluate the work of legal process and/or collections staff
  • Ensure adequate coverage for the legal process and/or collection unit
  • Train staff in legal terminology, procedures and document processing; review work in progress and upon completion
  • Authorize employee leaves and absences
  • Participate in the selection of staff; appraise employee performance; conduct counseling on work issues; recommend and administer discipline to staff as required
  • Develop procedures, forms and work standards for staff; ensure that work is performed in a consistent manner and maintain the flow and quality of work within the unit
  • Monitor changes in laws, policies and procedures that impact work; recommend procedural improvements and implement them after approval; assist in communicating procedures to staff
  • May interpret legal codes to determine proper filing procedures
  • Determine notice requirements, including the type of notice and the parties of notice
  • Confer with the Court Executive Officer, Assistant Court Executive Officer, Court Operations Manager, and other supervisors and managers on policies, and procedures and makes recommendations on their revision
  • Answer complex and difficult legal or procedural questions related to document processing; advise attorneys, public agencies and the general public regarding the status of cases and procedural information; apply Court policy to resolve issues
  • Answer staff questions on the application of pertinent codes as they relate to their duties
  • Answer the questions of others as they relate to changes in the law governing operations of the court
  • Hear and resolve employee concerns and issues
  • Prepare and maintain statistical and narrative reports related to activity and work of the unit.
  • Perform unit work when needed due to employee absences and/or emergency
  • Maintain/check on office supplies and inventory and prepare requisitions as required
  • Prepare and maintain personnel and payroll records
  • Serve as court representative with law enforcement agencies, attorneys, and county departments
  • Perform related work as required
