The Marion County Circuit Court in Salem, Oregon, is hiring a Judicial Support/Judicial Assistant (Court Operations Specialist) for the Honorable Amy M. Queen. In this role, you will provide administrative support to a judge. You will process mail, screen calls, greet visitors, answer routine questions, and coordinate case activities with judges, court staff, attorneys, and litigants. You will set priorities and recommend next steps for non-routine issues. You will maintain the judge’s schedule and calendars. You will prepare correspondence, memoranda, reports, and other legal documents. You will also prepare lists, statistics, and reports related to caseloads. When assigned in the courtroom, you will operate the recording equipment, complete forms, update court calendars, and maintain accurate logs of court proceedings. You will perform real-time data entry during trials and hearings and prepare notices, orders, and other legal documents. You will also process exhibits, oversee jurors, and ensure the security of the courtroom. Assigned tasks may be changed to accommodate workload and organizational needs.

Requirements

  • High school diploma or equivalent.
  • Four (4) years of responsible administrative experience in a moderately complex office or business setting demonstrating the knowledge, skills, and abilities needed for the position.
  • Any combination of education and experience equivalent to four (4) years of experience that typically supports the knowledge, skills, and abilities for the position.
  • Experience entering data in real-time within a fast-paced environment such as a court system or other legal setting while maintaining strict deadlines despite distractions and frequent interruptions.
  • Experience screening communications, prioritizing issues, and anticipating next steps.
  • Experience coordinating schedules and managing complex calendars.
  • Experience communicating on behalf of a supervisor or leader, ensuring both accuracy and appropriate tone.
  • Experience identifying and safeguarding confidential information and materials.
  • Regular, consistent, and punctual attendance is an essential function required to meet the demands of this job and to provide necessary services on behalf of the court and to the public.
  • Must be able to complete the U.S. Department of Homeland Security’s I-9 form within three days of hire.
  • Must be authorized to work in the United States and will be verified by E-Verify.
