Requirements

  • High school diploma or equivalent.
  • Four (4) years of responsible administrative experience in a moderately complex office or business setting demonstrating the knowledge, skills, and abilities needed for the position.
  • Any combination of education and experience equivalent to four (4) years of experience that typically supports the knowledge, skills, and abilities for the position.
  • Experience performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting.
  • Experience using a variety of software programs to access and input information and complete various tasks.
  • Experience coordinating schedules and maintaining calendars.
  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience and skill in writing and reviewing documents for accuracy and completeness.

Nice To Haves

  • Bilingual English/Spanish proficiency is preferred.
  • Bilingual skills (includes ASL) if you can pass a skills test and are assigned to use those skills on the job.

Responsibilities

  • Prepare the courtroom.
  • Update daily dockets.
  • Coordinate proceedings.
  • Operate and monitor digital recording equipment and complete log notes when court is in session.
  • Swear in witnesses.
  • Process exhibits.
  • Fill out forms.
  • Enter orders and judgments into the record.
  • Verify that pleadings submitted to the court are accurate and complete.
  • Research the status of cases.
  • Watch for security concerns in the courtroom.
  • Coordinate meeting invitations and facilitate and record remote proceedings.
  • Perform data entry in chambers.
  • Maintain calendars and schedules.
  • Arrange for the return or disposal of exhibits.
  • Draft letters and orders.
  • Proofread and distribute correspondence.
  • Help with case and document tracking.
  • Manage the assigned caseload.
  • Route mail, files, documents, and supplies.
  • Answer questions from internal and external customers about pending motions, outstanding rulings, and scheduled hearings.
  • Prevent ex parte contact with the judge.
  • Provide customer service in person, over the phone, and in writing.
  • Process cases.
  • Provide coverage within the Domestic Relations Department.
  • Serve as the primary backup for the Evidence Coordinator and the Civil Department’s Pro Tem Coverage Clerk.
