About The Position

The Polk County Circuit Court in Dallas, Oregon, is hiring a Court Clerk (Court Operations Specialist). In this role, you will provide courtroom support by taking minutes, preparing judgments and orders, entering data of court events and documents, operating the court’s electronic recorder, and ensuring accurate record of the court proceedings are being created and preserved in accordance with the applicable law, rules, and established business process and guidelines. When not in the courtroom, you will schedule meetings or maintain court calendars for judges, prepare dockets for court sessions, assemble materials and notify parties, arrange prisoner transport, and coordinate court appearances for litigants or court interpreters. You will also coordinate case activities and information with judges, court administration, other operations staff, attorneys, and litigants. As a point of contact for the court, you will assist customers at the counter, on the phone or through email and mail; organize and determine priorities; route parties and materials as appropriate; accept and receipt payments of cost, fees, fines, bail and other monies and balance cash drawer at the end of each day. Lastly, you will obtain and make recommendations after review of financial information for court appointed attorney eligibility. Assigned tasks may be changed to accommodate workload and organizational needs.

Requirements

  • High school diploma or equivalent
  • 4 years of responsible administrative experience in a moderately complex office or business setting demonstrating the knowledge, skills and abilities needed for this position
  • Experience in administrative support with strict, and often competing, deadlines in a fast-paced business or professional setting.
  • Experience explaining processes, procedures, or policies.
  • Experience responding professionally to customers or clients who are facing challenging life circumstances, stressful situations, or trauma.
  • Experience using computers and software programs to manage information and to complete work.
  • Experience handling cash and other monetary transactions, generating receipts, or crediting people’s accounts.
