About The Position

The Oregon Judicial Department (OJD) is seeking a Court Operations Associate for the Baker County Circuit Court in Baker City, Oregon. This role is an underfill opportunity, meaning it may be filled at the Court Operations Clerk level initially, with the potential to advance to Court Operations Associate. The position involves greeting visitors, providing customer service, managing phone calls, answering questions about court calendars and case status, and explaining court policies and procedures. Responsibilities include data entry for various case types, preparing certified copies, scanning and uploading documents, processing court records requests, and researching archived records. The role also involves cashier duties, processing payments for filings, fees, fines, and bail, and managing an electronic payment till. Additionally, the position will assist with filing exhibits in various formats, processing mail, and providing courtroom backup as needed. Requirements

  • High school diploma or equivalent.
  • At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
  • Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.
  • Experience prioritizing and performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting.
  • Proficiency using a computer to enter and retrieve data, schedule events in electronic calendars, and perform research and analysis.
  • Experience providing customer service to a variety of individuals on the phone and in-person from diverse backgrounds and varying degrees of behavior.
  • Skill in reviewing documents for accuracy and completeness.
  • Experience handling cash or credit card transactions and generating receipts.
  • Experience adapting to changing work expectations, processes, and technology.

Nice To Haves

  • Ability to pass a skills test and be assigned to use bilingual skills (includes ASL) on the job for a 5% allowance.

Responsibilities

  • Greeting visitors and providing customer service at the counter, over the phone, and in writing.
  • Routing phone calls, answering questions, and providing information about the court calendar and case status.
  • Explaining court policies and procedures to the public, litigants, and attorneys.
  • Performing data entry for civil, criminal, domestic relations, and probate cases.
  • Preparing certified copies, scanning documents, and uploading files into the case management system.
  • Reviewing documents for accuracy and completeness.
  • Processing court records requests and researching archived records.
  • Processing payments for filings, fees, fines, and bail as a cashier.
  • Accepting and receipting payments made over the phone and through mail.
  • Opening, managing, and balancing an electronic payment till daily.
  • Assisting attorneys and self-represented litigants in filing exhibits in PDF, audio, video, and physical formats.
  • Processing mail.
  • Providing backup coverage in the courtroom as needed.
  • Adapting to changing work expectations, processes, and technology.
