About The Position

This role is responsible for the day-to-day performance, quality, and output of the Court Filing team, which handles specialist tasks across multiple California courts and jurisdictions. The manager will oversee workload distribution, prioritize urgent filings, and ensure Service Level Agreements (SLAs) are met. A key aspect of the role involves coaching and developing team members through feedback, training, and performance conversations, using errors as learning opportunities. The manager will also conduct performance evaluations, set goals and Key Performance Indicators (KPIs), and ensure the team adheres to Steno's quality and productivity standards. This position requires deep expertise in California court filing procedures, including county-level nuances, mandatory cover sheets, tentative ruling procedures, courtesy copy requirements, e-service rules, and local court specificities. Responsibilities include conducting regular audits of case files and eFiling submissions to identify and correct errors, managing formal escalations and incident reporting for complex filing issues, and identifying root causes to prevent recurrence. The manager will act as an escalation buffer for leadership, resolving issues at their level and only escalating true exceptions. They will track rejection trends and workflow bottlenecks, developing and refining Standard Operating Procedures (SOPs) and playbooks to address these issues. This role also serves as a liaison between the Court Filing team and other internal departments such as Account Executives, Account Managers, and Billing. The manager will be responsible for KPI and SLA reporting for the Court Filing team, translating data into clear updates for Litigation Support leadership. Additionally, they will lead hiring, onboarding, and ramp planning for the team, including participating in interviews and developing training materials. Partnering with the Training and Development Manager, they will co-own onboarding curriculum and ongoing training content. A crucial part of the role is owning the "Day 1" onboarding experience for new law firm clients regarding court filing, including data entry and account setup. The manager must maintain fluency across various eFiling platforms (Tyler Odyssey/File & Serve, LegalConnect, One Legal, Greenfile, InfoTrack) and stay updated on new courts, portals, and rules. They will collaborate with Litigation Support leadership on special projects and process improvements as the team and client base grow, potentially expanding into jurisdictions outside California. Engagement and culture building are also important, requiring the manager to be visibly present and actively invest in team morale and connection.

Requirements

  • 5+ years of experience in California court filing or eFiling operations, with deep, county-level knowledge of Superior Court requirements
  • 5+ years in a management or leadership role, ideally overseeing a filing, legal operations, or litigation support team
  • Proven track record of managing a high-volume, multi-jurisdiction caseload with consistent quality, accuracy, and SLA performance
  • Hands-on experience with eFiling platforms such as Tyler Odyssey/File & Serve, LegalConnect, One Legal, Greenfile, or InfoTrack
  • Experience building and maintaining SOPs, playbooks, and training materials that keep a team operating accurately at scale
  • Strong coaching and people-management skills, with experience giving direct feedback and leading difficult performance conversations
  • Emotional intelligence & people-first leadership style: You read people accurately, adapt your style to the individual, and stay composed under pressure from clients, courts, and deadliness
  • Excellent cross-functional communication skills and are comfortable serving as a liaison between operations, sales, billing, and leadership
  • Track record of process improvement — turning audit findings, rejection trends, and incident reports into fixes that prevent recurrence

Responsibilities

  • Own the day-to-day performance, quality, and output of the Court Filing team of specialists working across multiple California courts and jurisdictions
  • Manage workload distribution and prioritization across the team, ensuring rush and VIP filings are handled with urgency and SLAs are consistently met
  • Coach and develop team members through regular feedback, hands-on training, and performance conversations - turning every rejection or error into a development moment
  • Conduct performance evaluations, set goals and KPIs, and hold the team accountable to Steno’s quality and productivity standards
  • Serve as the team’s deepest source of California court filing expertise — county-level nuances, mandatory cover sheets, tentative ruling procedures, courtesy copy requirements, e-service rules, and local quirks that don’t show up in the statewide rules
  • Conduct regular audits of case files, data entry, and eFiling submissions to catch errors before they reach the court or the client
  • Own formal escalation and incident reporting for complex filing issues, identifying root causes and implementing fixes to prevent recurrence Serving as the escalation buffer for leadership, resolving issues at your level and surfacing only true exceptions upward
  • Track rejection trends and workflow bottlenecks across the team, and build or refine the SOPs and playbooks needed to close the gaps
  • Serve as a liaison between the Court Filing team and Account Executives, Account Managers, Billing, and other internal stakeholders on escalations and process questions
  • Own KPI and SLA reporting for the Court Filing team, translating team- and individual-level data into clear updates for Litigation Support leadership
  • Lead hiring, onboarding, and ramp planning for the Court Filing team, including participating in interviews and building training materials as the team scales
  • Partner with the Training and Development Manager as a co-owner of onboarding curriculum and ongoing training content
  • Own the “Day 1” onboarding experience for new law firm clients on the court filing side — data entry, account setup, and a strong first impression
  • Maintain fluency across the eFiling platforms the team relies on — including Tyler Odyssey/File & Serve, LegalConnect, One Legal, Greenfile, and InfoTrack — and stay current as new courts, portals, and rules come online
  • Partner with Litigation Support leadership on special projects and process improvements as the team and client base grow, including expansion into jurisdictions outside California
