About The Position

Performs a wide variety of judicial specific procedures requiring specialized knowledge. Responsibilities encompass a wide variety of clerical activities associated with case processing requiring technical knowledge in all aspects of court operations. The Court Clerk shall perform the duties without personal views and relationships affecting the performance of duties will not attempt to influence the course of court proceedings and, will maintain confidentiality of all official court matters.

Requirements

  • Proficient with Microsoft Office Suite including database experience.
  • Strong organizational skills and ability to adhere to strict timelines related to the court.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of clients and other employees.
  • Ability to add, subtract, multiply and divide in all units of measure, use whole numbers, common fraction and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Must be able to pass a background check.
  • Valid Washington State Driver’s License is also required.
  • Must complete Court Clerk Certification within one year from date of employment.

Nice To Haves

  • Previous work with Native American communities and/or Tribal Court systems is preferred.

Responsibilities

  • Identifies customer needs, explains court procedures and protocols, responds to requests and asks questions to elicit information from customers in order to assist them in identifying and obtaining required forms and documents.
  • Reviews incoming documents for completeness and processes according to established procedures.
  • Verifies documents for accuracy, identifying inconsistency, with statutes, and assists customers with technical information for compliance.
  • Assists public including attorneys, law enforcement including court and community agencies by answering inquiries, explaining detailed regulations, procedures and complex requirements of the judicial process. Analyzes case specification and assists in the selection of appropriate mandatory forms required to proceed in court.
  • Evaluates customer needs for domestic violence, harassment and/or restraining orders, and assists customers in the preparation of documents for emergency matters.
  • Issues warrants, summons, subpoenas, notices and hearings, and other legal documents as ordered by the court.
  • Files and records legal documents with appropriate officials and agencies. Distributes orders and reports as required.
  • Verifies and provides receipts for legal financial obligations, bail, judgments, court fines and fees ensuring money is recorded per established court procedures. Posts cash receipts using accounting policies and procedures.
  • Reviews and inputs pertinent case information into court database
  • Identifies appropriate court rules and procedures before entering judgments. Tracks and monitors files as prescribed and closes files according to policies and procedures.
  • Retracts warrants, extends payment dates, and makes time payment plans.
  • Set up and monitors case files to assure timely action or review, including filing.
  • Tracks, logs, and monitors activities of cases processed.
  • Generates reports and provides information to affiliated agencies for program compliance. Provides information to agencies requesting specific, defendant information and case disposition.
  • Prepares court calendars (dockets) and assembles case documentation for court hearings.
  • Attends and keeps accurate records (written minutes and recording equipment) by summarizing court proceedings and judgments for official public records.
  • Prepares official transcripts of court hearings as requested.
  • Maintains list of persons who are permitted to appear in court as representatives.
  • Maintain up to date ordinances and codes.
  • Maintains a list of persons eligible to serve as on juries schedule trials, and summons jurors, as provided in the court procedures code.
  • Assists judge in preparing court orders.
  • Participates in training and conferences as requested by supervisor.
  • Ability to respond to on-call status emergencies.
