About The Position

The Town of Castle Rock is seeking a Court Clerk I to join their team. This role is responsible for providing exceptional customer service and serving as the primary point of contact for court-related inquiries. The Court Clerk will handle a variety of tasks including answering phones, providing case information, managing court documents, and assisting with court sessions. This position offers the opportunity to make a difference in the community and is eligible for Public Service Student Loan Forgiveness.

Requirements

  • High School Diploma or GED Equivalent.
  • Previous customer service experience.
  • Effective communication skills to relay policies and procedures, and to provide information to customers.
  • Excellent attention to detail.
  • Knowledge of legal terminology and ability to learn Castle Rock Municipal Court regulations, policies and procedures.
  • Ability to remain poised when dealing with the public in difficult situations.
  • Ability to make decisions based on good judgment.
  • Ability to maintain the confidentiality, integrity, and security of protected information.
  • Skill in using computerized database systems and Microsoft Office applications.
  • Ability to follow written and oral instructions.
  • Ability to work independently and as a team member.
  • Ability to complete work product in a timely manner despite tight deadlines and frequent interruptions.
  • Ability to demonstrate effective customer service skills.
  • Ability to establish and maintain effective working relationships.
  • Must satisfactorily complete a criminal background check prior to commencing employment.

Nice To Haves

  • College-level course work in criminal justice, legal studies or a related field is preferred.
  • Ability to type 40 words per minute is preferred.

Responsibilities

  • Provides exceptional customer service and serves as the primary point of contact for customer inquiries in person, by telephone, and electronically.
  • Answers incoming telephone calls and provides accurate Court case and procedural information to defendants, attorneys, law-enforcement personnel, and the public in accordance with applicable law, confidentiality requirements, and Court policies and procedures.
  • Communicates with attorneys regarding arraignments, pretrial conferences, motion hearings, and other scheduled matters and files entries of appearance submitted by attorneys.
  • Imports citation data, retrieves criminal-history and driving records, creates the corresponding case files, uploads police reports, and performs docket quality-control reviews to ensure each case contains the police report and all other required documentation.
  • Ensures the accuracy of citations within the Town’s Court computer system and troubleshoots any inconsistencies.
  • Records case information into the Court’s official records.
  • Prepares and issues Court papers, making official authorizations in the Court’s name.
  • Provides procedural assistance to the public, including information regarding applicable rights, Court processes, and possible penalties, without providing legal advice.
  • Monitors cases for compliance with Court orders.
  • Serves as Court Clerk during Municipal Court sessions.
  • Checks in defendants and ensures they have been advised of their rights.
  • Enters motions, judge’s orders and other requirements into the Court computer system.
  • Checks out defendants, including explaining sentencing requirements and forms.
  • Accepts and processes payments.
  • When necessary, sends cases to collections for nonpayment.
  • Processes paperwork with the Division of Motor Vehicles and the Castle Rock Police Department when warrants or other items are cleared.
  • Assists with post-court processing and performs quality-assurance reviews of traffic cases entered during court.
  • Prepares the courtroom for Court sessions and completes post-court cleanup.
  • Performs routine clerical functions including copying, filing, mail pickup and scanning.
  • May assist with community programs offered by the Court.
  • Performs other duties as assigned or required.
