As a key support role within Probate Court operations, this position helps oversee Judicial Court Clerks, supports courtroom and docket operations, assists with training and onboarding staff, and helps ensure court proceedings and documentation are completed accurately and efficiently. This role also partners with court leadership on process improvements, reporting, and special projects that support the overall success of the Court.

Requirements

  • Must have completed an Associate’s degree or equivalent education from an accredited college or university.
  • Have at least one (1) year experience in the processing of records related to court proceedings.

Responsibilities

  • Assist with recruiting, hiring, onboarding, training, and overseeing the work of Judicial Court Clerks, visiting judge clerks, students, and interns
  • Help promote the orderly flow of court proceedings and ensure related documentation is completed accurately and timely
  • Support the supervision and review of docket activity, and other court processes for accuracy and compliance
  • Assist in training Judicial Court Clerks in courtroom procedures, docket management, reporting, and paperwork processing
  • Coordinate clerk coverage and scheduling support for Probate Judges to maintain efficient court operations
  • Collaborate with the filing counter team to develop and implement best filing practices and procedures
  • Participate in committees and special projects focused on improving court operations and processes
  • Assist the Court and Court Administrator’s Office with preparing reports and information for the State Court Administrative Office (SCAO)
  • Utilize countywide and department-specific software systems to complete assignments and support daily operations
  • Provide support in maintaining professional, efficient, and customer-focused court services
  • Functions as a working supervisor over the Judicial Court Clerks and visiting judge’s clerks.
  • Instructs assigns, schedules, and checks work for Judicial Court Clerks, visiting judge clerks.
  • Participates in the recruitment, selection, and training of judicial court clerks.
  • Assists with training Judicial Court Clerks in all aspects of judicial proceedings, including docket management, docket reporting, and processing paperwork.
  • Ensures court protocol is followed.
  • Works with Court staff on procedural issues.
  • Assists in establishing and implementing new courtroom procedures, including real-time docket entry and case scheduling training.
  • Assists in providing docket management training to assure that consistent docket management practices are employed by judicial court clerks and implements procedures for changes in the law.
  • Provides recommendations to the applicable judge or court administrator regarding personnel issues related to the Judicial Court Clerks.
  • Participates in the performance evaluation process of the Judicial Court Clerks.
  • Schedules regular meetings with the Judicial Court Clerks and visiting judge clerks.
  • Acts as a float clerk when needed for Probate Judges.
  • Trains judicial court clerks on use and troubleshooting of video court reporting equipment.
  • Assists in clerk recruitment and conducting initial interviews for potential Judicial Court Clerks.
  • Participates in committees related to court operations and other special projects as necessary.
  • Assists in reviewing docket and caseload reports and developing recommendations for improved case flow management strategies.
  • Assists in developing training programs for the judicial court clerks regarding legislative and court rule changes that affect courtroom procedures.
  • Responsible for writing and maintaining Probate Court training manual for Court Clerks and making recommendations regarding court clerk responsibilities emphasizing unification of chambers procedures to the extent possible.
  • Presents approved court policies and case flow management procedures to new judges and judicial employees.
  • Performs other duties as assigned.
  • Complies with all policies and standards.
  • Utilizes current countywide and/or department specific software to complete assignments.
