About The Position

The Court Administration Assistant provides administrative support in a high-volume work environment that requires the ability to multi-task, use strong organizational and communication skills to provide exemplary service, both internally and externally, ensuring that the needs of the Court are met effectively. This position works within the Criminal Department and is responsible for the adjudication of all felony offenses committed within Maricopa County. Requirements

  • High school diploma or GED
  • Two (2) years of general clerical or administrative experience OR Combined Education and Experience Qualifications: An equivalent combination of post-secondary education or job-related experience may substitute on a year-for-year basis.
  • Knowledge of: Principles and processes for providing customer service including customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction
  • Skill in: The use of computer applications including spreadsheets, databases, and word processing software.
  • Written and verbal communication with others to convey information effectively
  • Critical thinking and evaluating information to determine the best solution
  • Providing exemplary customer service
  • Ability to: Learn policies, procedures, and guidelines established by the Court
  • Respond courteously to concerns of the public, attorneys, and employees
  • Use effective time management skills to handle multiple tasks at one time
  • Excel in a high volume and time-sensitive work environment
  • Establish and maintain effective working relationships with others
  • Understand and accurately brief oral and written instructions
  • Make sound decisions in accordance with regulations, policies, and procedures
  • Work as a member of a team with minimal supervision

Nice To Haves

  • Bilingual in Spanish/English
  • Familiarity with the Arizona Constitution and Arizona Revised Statutes specific to the assigned divisions
  • Experience with multi-line telephone systems

Responsibilities

  • Performs case management entry and/or retrieval to include but not limited to: Integrated Court Information System (iCIS), Integrated Court Information System - Next Generation (iCISng), Adult Probation Enterprise Tracking System (APETS), Justice Web Interface (JWI), and Jail Management System (JMS).
  • Directs public to appropriate Court programs, resources, facilities, and outside agencies
  • Responds to case-related inquiries from the public, attorneys, Judicial Officers, and Judicial Branch staff
  • Reviews case status reports, conducts research and performs other case management-related functions
  • Trains new and existing staff on departmental processes, policies, and procedures
  • Initiates, updates, and maintains case-related information in Court software
  • Assists in the preparation of statistical reports
