About The Position

This is a full-time in-person position requiring work directly with the Judiciary, management, criminal justice system representatives, attorneys, and the public. This is work of a training nature, not as a supervisor, but in developing knowledge and skills in court administration. Employees participate as learners in phases of court activities, cross-train in various departments and are assigned based on aptitude. As experience is gained and the full performance level neared, a progressively expanding range and complexity of projects are assigned. Requirements

  • Considerable knowledge of English usage and grammar.
  • Knowledge of Microsoft Outlook, Word, and Excel.
  • Ability to learn the principles and practices required in the technical or administrative field to which assigned.
  • Ability to analyze facts and to exercise sound judgment.
  • Ability to present ideas effectively, both orally and in writing.
  • Ability to understand and follow oral and written instructions and to communicate effectively.
  • Ability to establish and maintain effective working relationships with the members of the judiciary, jurors, attorneys, associates, employees, and the general public.
  • Bachelor's degree from an accredited college or university.
  • Five years of progressively responsible clerical work with three years served at the supervisory level in court service.
  • Equivalent combinations of education, training and experience providing the characteristics required to perform the essential functions of the class, which also includes a high school diploma or equivalent.
  • Ability to perform the essential functions of the position.
  • Strong organization and communication skills are a requirement.
  • Successful completion of a criminal background investigation.
  • Must work in person (not remote).
  • Applicants must have their own means of transportation to and from work and to any required off-site locations

Responsibilities

  • Reviews court records scheduled for hearings or trials for the presence of pertinent legal records and documents, including rulings and notes of testimony; accesses the Common Pleas Case Management System (CPCMS) and the Criminal Document Management System (CDMS) to review the case file; generates trial sheets and distributes them to designated officials within the courtrooms.
  • Records a complete and accurate narrative in CPCMS of all orders, rulings and decisions for every matter before the Court, including continuance requests, trial dispositions, and sentencings.
  • Processes a variety of forms through CPCMS to implement the court’s rulings pertaining to, discharges, appearances in court, payment of fines and/or costs, bench warrants and any other order of the court.
  • Assures the appropriate forms are generated, scanned into CDMS and distributed to the appropriate justice partners to execute the Court’s Orders.
  • Answers inquiries from court officials as to documents and information contained within case files through both CPCMS and CDMS; inform the judge of any new procedures that may impact the implementation of the court’s order; assures judge's signature is present on appropriate documents.
  • Quality controls case scheduling to various calendars adhering to established policies and procedures.
  • Monitors’ accuracy of courtroom calendars by accessing and reviewing various reports in the case management applications.
  • Maintains supply and equipment inventory for office and orders supplies as needed.
  • Performs related duties as required.
