Outreach is hiring a Part-time Counseling Program Assistant within Outreach Counseling Center – Carol Stream to oversee the front desk and assist with related administrative duties. This location houses two clinical programs, both Outreach Counseling Center Carol Stream and Outreach Assessment Clinic.

Requirements

  • HS Diploma or BA/BS Degree in healthcare administration, business, or a related field.
  • At least 1-2 years of experience in healthcare administration, ideally within a behavioral health or mental health setting.
  • Professional presentation and strong client-care skills.
  • Strong communication skills, excellent problem-solving, organizational, and time management abilities.
  • Ability to take initiative and contribute to a positive team and office environment.
  • Previous experience working in team environments, with a strong understanding of healthcare billing, coding, HIPAA regulations, and compliance requirements.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • A commitment to Outreach’s Statement of Mission and Faith is required.

Nice To Haves

  • Ability to speak Spanish is a plus.

Responsibilities

  • Greet all clients and visitors, and screen calls for staff, take messages as needed, and transfer calls to voicemail while maintaining client confidentiality.
  • Provide general administrative support for the Outreach Counseling Center – Carol Stream including collecting insurance and ID documentation, photocopying, form creation, tracking staff PTO, and managing the Electronic Health Record (EHR) system with confidentiality and efficiency.
  • Support basic accounts receivable functions, including collecting client payments and following up on outstanding balances.
  • Communicate with clients regarding unpaid balances in a professional and timely manner.
  • Run and monitor basic productivity reports; follow up with staff on outstanding documentation or action items.
  • Assist with waitlist management, including contacting clients who have been on the waitlist for extended periods.
