About The Position

The High School Registrar is responsible for maintaining accurate and confidential student records, managing enrollment and registration processes, and supporting the efficient operation of the school through the effective use of technology and student information systems. The position serves as a professional front-facing contact for parents, students, staff, and the public, providing courteous, timely, and accurate information while promoting positive customer service and clear communication.

Requirements

Motor Vehicle Operator's License or ability to provide own transportation.
Experience with technology

Responsibilities

Process and maintain current senior transcripts for submission to colleges and universities through Parchment, Naviance, or other approved systems.
Retrieve and provide official transcripts for past graduates and non-graduates within the required records-retention period, including collection of applicable fees.
Serve as a front-facing resource for parents, students, staff, and the public by responding to inquiries and providing accurate information regarding school enrollment and operations.
Maintain, organize, and safeguard permanent student records, including confidential records, testing documentation, IEPs, and 504 plans, in accordance with applicable confidentiality requirements.
Maintain graduate records and archival filing systems for required retention periods.
Prepare and process graduate diplomas annually, including stamping, dating, and identifying diploma type.
Create and maintain counseling files for assigned counselors and ensure records are current and properly retained.
Assist with the ordering of office and counseling supplies, including preparation of purchase orders as needed.
Enter and maintain student testing data, including SAT scores and other assessment information as assigned.
Prepare mass copies and related materials to support student scheduling for the upcoming school year.
Collect testing forms and fees, and create and maintain accurate spreadsheets and records.
Collect, process, and record summer school forms and payments, including spreadsheet tracking.
Coordinate with military recruiters or representatives as needed regarding student meetings and transcript requests.
Triage the counseling office by assisting students with passes, addressing routine concerns, and responding to incoming questions or issues.
Answer the main counseling office telephone line and direct calls or provide information in a professional and courteous manner.
Prepare and distribute parent communications as directed.
Assist with maintaining the student scholarship directory and tracking of senior scholarships, including communication with community partners
Assist with the organization and preparation of Senior Awards Night
Support counseling office events and activities by preparing communications, student passes, and related materials.
Maintain an organized, efficient, and professional office environment with current and accessible information.
Process educational verification requests within the required records-retention period and beyond, as permitted.
Collect and process Advanced Placement and Dual Credit forms and related documentation.
Collaborate with administration on student withdrawal procedures and required paperwork.
Coordinate with Amplify to communicate schedules and registration information to families and students.
Supervise and provide direction to office cadets as assigned.
Maintain the calendars of assigned counselors and the Director of Counseling.
Perform other duties and responsibilities as assigned by the immediate supervisor.
