About The Position

Situated within the shared, unceded territory of the L̓il̓wat7úl (Líl̓wat People) and Sḵwx̱wú7mesh (Squamish People), the Resort Municipality of Whistler (RMOW) is a vibrant destination resort community, local government organization and leader in providing municipal programs, services, progressive planning and infrastructure. The RMOW is a high performance municipal organization and significant tourism economy serving a community of 15,000 permanent residents and over three million annual visitors. The Legislative Services department of the Corporate Services and Public Safety division has an opportunity for qualified individuals to apply for the position of Council Coordinator. Reporting to the Deputy Corporate Officer, this position offers 72 hours bi-weekly starting as soon as possible until May 7, 2027.

Requirements

  • Grade 12 diploma and a business administration certificate, or a comparable program.
  • 3-5 years of previous experience in a similar administrative role.
  • Extensive minute taking experience.
  • Working knowledge of formal meeting procedures and rules of order (Robert’s Rule of Order).
  • Good knowledge of business communication.
  • Advanced skills in Microsoft 365.
  • Advanced skills in Adobe Acrobat.
  • Knowledge of eSCRIBE for creation and distribution of all Council meeting agendas, packages and minutes.
  • Excellent communication skills, verbal and written.
  • Proven skills as a fast-paced, detail-oriented, and well-organized coordinator.
  • Ability to maintain confidentiality when dealing with sensitive information.
  • Ability to work well under pressure, complete multiple assignments and meet firm deadlines with accuracy.
  • Commitment to promoting a diverse and inclusive workplace while contributing to a positive team environment.
  • Valid BC class 5 driver’s license.
  • Satisfactory driver’s abstract.
  • Satisfactory Police Information Check prior to beginning employment.

Nice To Haves

  • Ideally local government administration.
  • Knowledge of parliamentary procedure.
  • Knowledge of the Community Charter and Local Government Act.

Responsibilities

  • Prepare and conduct an initial review of Council meeting agendas and packages for all public, closed and public hearing meetings of Council.
  • Draft and review the minutes of the Regular Council Meetings, Committee of the Whole Meetings and Public Hearings.
  • Write a variety of correspondence and create and coordinate most records related to Council decisions and direction.
  • Keep the RMOW bylaw registry up to date with all adopted and in-process bylaws, consolidate amended bylaws.
  • Perform research and special project assignments as required.
  • Serve as the main point of contact for the eScribe software and train employees on its use.
  • Plan and execute events related to the Local Government Awareness Week.
  • Attend meetings outside normal working hours on a regular basis.
