About The Position

The Washington State Department of Corrections has a duty to ensure the security of offender records. As a custodian of these records, the Correctional Records Supervisor (CRS) within the Tolling Records Unit ensures compliance with appropriate laws and agency policy. This position provides leadership and support of the Tolling Unit, which serves as the agency’s custodian for tolling records for individuals under DOC jurisdiction. The unit is responsible for entering, auditing, and interpreting statewide tolling activities that determine Scheduled End Dates (SED), which ultimately mark the end of the Department’s jurisdiction for individuals supervised in the community. The candidate of choice must be able to supervise and lead others as you will oversee correctional records staff and support each in their job performance.

Requirements

  • High School diploma or equivalent.
  • Three (3) or more years of reconciling tolling activities and verifying scheduled end dates for individuals under the Departments jurisdiction.
  • Five (5) years’ of experience maintaining or processing records of individuals under the jurisdiction of the Department of Corrections in an adult correctional agency.
  • Must respect and maintain confidentiality.
  • Demonstrated ability to effectively communicate with co-workers, the public, and criminal justice agencies.
  • Demonstrated ability to analyze and solve problems under highly stressful or adverse situations.
  • Demonstrated ability to learn and utilize computer-based applications in the performance of job duties.
  • Demonstrated mathematical skills to compute complex sentence structure calculations.
  • Demonstrated knowledge of Washington sentencing laws, DOC supervision types, and applicable DOC policy to ensure knowledge of criminal history document processing.

Nice To Haves

  • Experienced in OMNI, OnBase, and the correctional records process.
  • Two (2) years’ of experience as a direct supervisor or lead.
  • Demonstrated knowledge of Washington sentencing laws, DOC supervision types and applicable DOC policy to ensure DOC jurisdiction.
  • Knowledge of criminal history document processing.

Responsibilities

  • Manage and provide supervisory direction relating to operational effectiveness of a correctional records office.
  • Direct and supervise lower-level correctional records Tolling staff as well as the work of the Tolling Unit.
  • Order/request supplies and equipment.
  • Plan, assign, and review the work of the Tolling staff.
  • Track and report monthly the established metrics for statistical data for the Tolling Unit.
  • Conduct regularly scheduled staff meetings to evaluate the workload and promote teamwork.
  • Assess training needs of staff and arrange for or provide instruction.
  • Respond to inquiries regarding records issues from internal and external entities.
  • Evaluate employee performance and prepare performance appraisals.
  • Resolve staff issues, recognize employees, and counsel employees in work-related activities and career development.
  • Interpret Supreme, Appellate, and Superior court decisions, RCWs, and Indeterminate Sentence Review Board redeterminations in order to properly compute or re-compute scheduled end dates for offenders.
  • Train staff on the use of offender database systems, application of public disclosure laws, and criminal history record information laws.
  • Implement operational adjustments within the Tolling Unit resulting from changes to law, court decisions, administrative regulations etc.
  • Review and verify supervised individual’s Scheduled End Date (SED) from supervision.
  • Provide effective communication and thorough and timely request processing.
  • Other duties as assigned
