About The Position

This position is responsible for computing and posting inmate sentences, additional sentences, earned credit, jail time credit, prior prison credit, and parole eligibility using the DOTS/DOTS Portal computer system. The role involves processing admission documents by reviewing court records for accuracy and completeness, and maintaining correspondence with other agencies and courts for verification. The officer reviews inmate records to ensure the appropriateness of release from prison, compliance with registration laws, and DNA testing requirements. Additionally, the position involves operating Offender Watch and computer terminals to transmit confidential information, researching LEADS for pending warrants and detainers, coordinating pickup arrangements with detaining authorities, and obtaining reporting instructions for inmates being released under supervision. The officer adjusts certified release dates based on earned credit and enters TC and parole release dates as directed. Release of authorization documents are prepared for supervisory approval, ensuring they are provided to prisons for timely inmate release. Information is entered and corrected as needed in the DOTS Portal, and various reports are run using DOTS Portal and Microsoft software. The role also includes maintaining inmate Legal Files by updating them with accurate information, filing incoming documents, and comparing release dates for accuracy. Inmate records are maintained and updated by scanning information to the OnBase document management system. The officer enters information into DOTS Portal as needed, including appropriate status and reason codes. Correspondence with other agencies is maintained, and kites/inmate inquiries are responded to. Mail is opened, sorted, and distributed. Other bureau functions as assigned are also completed.

Requirements

  • Formal education in arithmetic that includes addition, subtraction, multiplication, division, fractions, decimals & percentages & in reading, writing & speaking common English vocabulary.
  • 12 months of training or 12 months of experience in processing, reviewing & preparation of adult correctional inmate or juvenile offender records & applicable state &/or departmental procedures, rules & laws.
  • OR 9 months of experience as a Correction Records Management Officer, 63231.
  • OR equivalent of Minimum Class Qualifications For Employment noted above.
