About The Position

We are seeking a Correction Records Management Officer in the Office of Records and Sentence Computation in Central Office, located at 30 W. Spring St., Columbus, OH 43215.

Requirements

• Formal education in arithmetic that includes addition, subtraction, multiplication, division, fractions, decimals & percentages & in reading, writing & speaking common English vocabulary
• 1 course or 3 mos. exp. in records management (e.g., record retention, document management, confidentiality)
• Equivalent of Minimum Class Qualifications For Employment noted above

Responsibilities

• Review youth records and independently manage systems of data collection (e.g., JJCMS, OnBase, and electronic drives for the DYS juvenile correctional facilities and the Bureau of Parole)
• Maintain inventory of youth records and controls distribution of youth records through a tracking system
• Adhere to record retention periods based on authorized schedules established by DYS and/or Department of Administrative Services [DAS]
• Ensure the initial identification of Juvenile Sex Offender Registration and Notification (JSORN) and Serious Youthful Offender requirements
• Work directly with the Chief Inspector or designee with the review of new arrivals and youth preparing to be released through the Law enforcement computer systems (e.g., law enforcement automated data system (LEADS) to receive confidential information
• Research the Confinement Credit Addendum and AWL Court Hearings results for pending warrants and detainers
• Update the Juvenile Justice Correctional Management System (JJCMS) with youth’s pending detainers & prepares necessary documentation for Recommitment of Rolls
• Serve as liaison between institution staff & law enforcement to monitor receipt of the results of court hearings
• Attend meetings, trainings & conferences; may give presentations & conduct trainings
