Job Description: The Corporate Services Filing Assistant provides administrative and filing support to the firm, its subsidiary, McDermott Corporate Services LLC (MCS) and MCS corporate customers. The Corporate Services Filing Assistant works under direct supervision of the Corporate Services Administrator and relies on instructions and pre-existing guidelines to perform the essential functions of the job.

Requirements

  • Bachelor’s degree or at least three (3) years of related work experience
  • Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word)
  • Strong written and verbal communication skills
  • Strong organizational skills
  • Strong database management skills
  • Ability to handle and maintain confidential information
  • Ability to learn new concepts and skills quickly
  • Ability to work effectively in a fast-paced environment

Responsibilities

  • Maintain a working knowledge of registered agents, including their role, services, and statutory responsibilities
  • 5 days a week in office presence
  • Respond to requests for corporate documentation for business entities from all Secretary of State offices
  • Research business entity information across all jurisdictions
  • Coordinate corporate and Uniform Commercial Code (UCC) filings for all Secretary of State offices nationwide
  • Assist with preparation, review and filing of corporate documents in all jurisdictions, including formations, amendments, mergers, conversions, revivals, dissolutions and annual reports
  • Obtain good standing certificates, retrieve corporate records, conduct name availability searches and secure name reservations
  • Conduct UCC lien searches efficiently across all jurisdictions
  • Apply strong problem-solving skills to resolve issues related to customer request and documentation
  • Support customer onboarding by preparing engagement letters, performing Office of Foreign Assets Control (OFAC) sanction searches, and entering customer information into internal database
  • Maintain spreadsheets and internal tracking systems for filings, requests and invoicing
  • Remain informed of the Delaware Secretary of State Information System and related procedures
