About The Position

The Corporate Services Coordinator has a variety of tasks to support the head of Corporate Services (who oversees events, travel, environmental health and safety, and corporate properties) as well as the head of Corporate Events, the North American event managers, and the catering professionals. Prioritization, organization, and strong communication skills are key qualifications to handle the many demands of the broad team.

Requirements

Nice To Haves

  • Some catering, hotel or event management experience is a plus.
  • Knowledge of meeting/event software CVENT is a plus.

Responsibilities

  • Directly responsible for expense reporting on a weekly basis for the Head of Corporate Services, Corporate Events Team, Canadian Events and Aviation Department.
  • Support Head of Corporate Services, Head of NA Events and Head of Global Travel with administrative tasks such as upkeep of calendar, departmental meetings, travel arrangements and other administrative needs. Also support needed with gathering information and producing Power Point presentations. Additional support for the Head of Corporate Services includes email prioritization and organization, meeting preparation, management of approvals and time/calendar management.
  • Supports individuals on the North American Corporate Events team. Assist Managers with sourcing venues, attendee management, menus, rooming lists and other planning tasks when requested.
  • Work in CVENT to build websites to include registration site builds, registration management, reporting and budgeting.
  • Oversee virtual meeting requests coordinating with marketing, corporate communications and the management of home delivery food and beverage. Secure speakers for the meeting and attend the meeting to troubleshoot.
  • Manage employee events from inception to conclusion partnering with the Employee Experience team. Responsible for sporting and entertainment ticket distribution and tracking. Coordinate golf tee times for executives and distribution.
  • Assist with database tracking on various projects and the development of PowerPoint presentations when needed.
  • Responsible for reporting needs within Cvent (meeting management system). This includes weekly reports, auditing information, securing missing information, running reports and presenting conclusions based on findings. Attendee management may be needed for specific meetings. This position will lead to the facilitation of producing monthly reports which may vary depending on information requested from the Executive Leadership Team. At times, these reporting requests may be timely and demanding.
  • Responsible for scheduling weekly meetings including direct report and staff meetings. Develop agendas and communicate.
  • Assist with shipping of mass mailings, conference supplies and general distributions. Some inventory management may be required.
  • Support the production of collateral and meeting materials when needed (i.e. name tags, tent cards, agendas, VISIO diagrams, welcome packets etc.).
  • Support conference center team when needed (including meeting room set up, catering support, cleaning and on-site management).
  • Support in the altering and updating of the intranet website.
  • Work on special projects for events, conference centers and travel when needed.
  • Administer and collect results for monthly service surveys. Input all marketing needs into Aprimo (software tool) for the events team and track for deadlines. Assist event managers with the input of compliance data into Red Oak and track progress.
  • On-Site event support to include setting up, working registration tables, distribution of materials, etc. This may involve work after normal business hours.
  • Maintain inventory and organization of gift closets and meeting, event and conference center supplies.
