About The Position

The Executive Services (ES) Operational Support Coordinator is responsible for overseeing and coordinating day-to-day operational logistics, executive support services, travel coordination and program management activities for senior leadership and executive-level events. Key Responsibilities: Scheduling management including maintaining of team calendars, office coverage, weekly schedules and ensuring accuracy. Managing shared inbox and requests for ES services, coordinate timely responses to requests. Oversee weekly staffing, transportation logistics and internal communication to ensure proper workflow. Support team resource allocation for events and travel and provide forward-looking forecasts of executive travel and events. Coordinate travel logistics for the team including itinerary support and serves as a liaison with SEA’s and events team for internal and external events. Prepare and manage expense reports ensuring timely submission and proper documentation and compliance. Maintain training records, certifications, emergency documentation procedures and ensure adherence to organization requirements. Track operational metrics, improve processes, maintain documentation and drive continuous efficiency improvements. Help support special programs.

Requirements

  • Bachelor's degree, or equivalent work experience
  • Typically more than one year of applicable experience
