Job Summary This position will be responsible for coordinating with Tokio Marine Head Office (“HO”) and overall support and coordination to Tokio Marine America operations in North America. The main focus of the HO-related role will be serving as a liaison supporting the development and implementation of global program operations for the large Japanese clients, including regulatory research, fronting network management, operational process improvement, provision of professional advice, and responding to inquiries. The primary function in supporting Tokio Marine America will be to provide assistance for administrative work including but not limited to communications with external parties (e.g. brokers). The role is also expected to conduct facilitation/logistics support for various committees/conferences/projects and setting the schedule for customer engagement.

Requirements

  • Bachelor's degree in finance or accounting preferred
  • Strong verbal and written communication skills
  • Bilingual communication skills preferred (to read, write and speak English and Japanese)
  • Three+ years of property/casualty insurance industry experience preferred
  • Knowledge and experience in marketing, IT, business process, project management preferred
  • Working proficiency of Microsoft Office, and knowledge/skills in Microsoft Word/Excel/PPT preferred
  • Strong analytical ability with the capability to determine the root cause of problems and issues and provide solutions
  • Superior attention to detail and accuracy
  • Ability to work independently and effectively as part of a team

Responsibilities

  • Serve as a liaison with HO regarding Global Program operations
  • Global Program Operations Coordination
  • Coordinate insurance coverage surveys, loss surveys, underwriting related activities
  • Coordinate issuance instructions including follow-ups
  • Respond to and coordinate inquiries from Group Companies involved in Global Program operations
  • Provide professional advice and guidance to Producing Offices and Local Offices related to Global Program operations
  • Development and Maintenance of the Fronting Network
  • Coordinate the execution and implementation of fronting service agreements and reinsurance agreements
  • Coordinate the registration of reinsurers in each country
  • Support the development and maintenance of the fronting network
  • Monitor service levels
  • Collection, Dissemination, and Management of Country-Specific Insurance Regulations
  • Collect, review, and consolidate regulatory information across multiple jurisdictions
  • Maintain and update regulatory information for each country
  • Coordination and Administration of Global Program-related IT Systems
  • G-Cabinet roll-out and maintenance, system security, and ID registration, etc.
  • Coordinate user access management and system security procedures for Global Program related systems
  • Provide guidance to internal users on the operation of systems supporting Global Program operations
  • Identify opportunities to improve systems and operational processes.
  • Support/Assistant to Tokio Marine America
  • Assistant for Account Executive Officer (“AEO”)’ marketing activity: Act as assistant for the AEOs in Eastern Region; arrange meetings, travel arrangements, etc.
  • Greet guests and customers in traditional Japanese manner if necessary.
  • Assist members of Eastern Region with administrative duties including e-mailing, copying, faxing, processing mail, escorting visitors.
  • Help communications with third parties (e.g. brokers)
  • Support AEO's in coordinating accounts and reviewing new business and follow-up renewals.
  • Analyze and summarize various types of data mainly using Microsoft Excel, including but are not limited to: new market opportunities, monthly branch report, list of bookings by account, broker, etc.
  • Prepare presentation materials, including Microsoft PowerPoint presentations under the direction of the AEO.
  • Assist AEO with preparing expense reports including usage of SAP Concur system.
  • Propose and create new reports in order to analyze business needs.
  • Facilitation/logistics support
  • Conduct facilitation/logistics support for various committees/conferences/projects and setting schedule for customer engagement. (e.g. internal meetings including meetings with HO, Anniversary event, etc)
