About The Position

This role provides executive and administrative support to the President and senior leadership, manages company-wide administrative operations, administers organizational compliance and records, supports employee and operational workflows, and administers subcontractor and vendor processes.

Requirements

  • High school diploma or GED required
  • Minimum of three (3) years of experience in office management, executive support, or corporate administration
  • Strong technology skills, including proficiency in Microsoft Office Suite and Google Workspace
  • Excellent organizational, written, and verbal communication skills
  • Demonstrated experience managing multiple priorities, coordinating events, vendors, and facilities, and interacting professionally with executive leadership.
  • Highly self-motivated, proactive, and able to work independently with minimal supervision
  • Able to exercise sound judgment, problem-solving skills, discretion, and confidentiality when handling sensitive business, personnel, and financial information.

Nice To Haves

  • Associate's or bachelor's degree in Business Administration, Office Management, or a related field preferred.
  • Construction industry and multi-location experience strongly preferred.
  • Experience with Airtable, RAMP or similar expense platforms, and social media management tools preferred.

Responsibilities

  • Provide executive and administrative support to the President and senior leadership, including calendar and meeting coordination, travel arrangements, correspondence, presentations, special projects, mail services, and company event coordination.
  • Manage company-wide administrative operations, including office and break room supplies, uniforms and branded apparel, employee swag, mobile phones, office equipment, corporate signage, software subscriptions, IT support requests, and branch-level administrative services and expenses.
  • Administer organizational compliance and records, including business licenses, permits, occupancy certificates, renewals, vendor contracts, insurance documentation, customer/vendor portals, and other administrative records across Company locations.
  • Support employee and operational workflows, including new-hire equipment and personnel requests, payroll and role changes, corporate credit card reconciliation, social media administration, and coordination with leadership, IT, and other departments.
  • Administer subcontractor and vendor processes, including subcontractor eligibility reviews, ERP/Airtable setup and documentation, ongoing eligibility and status updates, coordination with Field Management and Data Systems, scorecard tracking, vendor credit applications, leadership approvals, and vendor account setup in the ERP system.
