About The Position

As the Corporate Office Facilities Assistant, you will help ensure the smooth, day-to-day operations of our headquarters by managing administrative tasks, providing exceptional front desk service, overseeing facility functions, and coordinating mailroom activities. Success in this fast-paced role requires strong organizational, communication, and multitasking skills, along with a flexible, can-do attitude. You’ll report to the Facilities Manager, work closely with the Sr. Director of People Strategy, and collaborate across departments. This role provides a strong foundation for personal and professional growth, offering exposure to cross-functional teams and insight into the inner workings of a corporate environment. Requirements

  • High school diploma or GED required.
  • Ability to lift up to 20 lbs and perform light physical tasks related to office upkeep.

Nice To Haves

  • Degree in Business Administration, Facility Management, or a related field preferred.
  • 2+ years of experience in a corporate office or facilities coordination role preferred.
  • Excellent organizational and time management skills with strong attention to detail.
  • Exceptional communication skills—both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) strongly preferred.

Responsibilities

  • Serve as the first point of contact for visitors, clients, and employees.
  • Greet guests warmly, answer and route phone calls, and assist with general inquiries in a professional and friendly manner.
  • Provide general administrative assistance including data entry, document preparation, and scheduling support.
  • Monitor and order office and breakroom supplies; manage inventory and vendor relationships.
  • Support HR with new hire onboarding and welcome coordination.
  • Participate in the Culture Squad, helping plan and execute internal events, holiday celebrations, and team-building activities.
  • Oversee the day-to-day operations of corporate facilities, including office spaces, conference rooms, and common areas.
  • Coordinate with building management and external vendors to address maintenance needs and repairs.
  • Ensure compliance with health and safety regulations and implement best practices to maintain a safe and orderly environment.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Sort and distribute mail promptly to appropriate departments or individuals.
  • Maintain tracking logs and records for all shipments and deliveries.
