About The Position

The Corporate Office Coordinator serves as the first point of contact, while ensuring the efficient day-to-day operation of the corporate office. This role is responsible for front desk operations, office administration, communication support, and helping create a positive employee and visitor experience. The ideal candidate is highly organized, customer-focused, detail-oriented, and able to manage multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.

Requirements

  • High School Diploma or GED required.
  • 2–5 years of administrative, customer service, reception, or office coordination experience.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Exceptional customer service orientation.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to maintain confidentiality and professionalism.
  • Strong attention to detail and follow-through.
  • Ability to work independently and collaboratively.
  • Ability to sit, stand, and walk throughout the workday.
  • Ability to lift and carry office supplies and packages up to 25 pounds.
  • Ability to utilize standard office equipment, including computers, phones, copiers, and scanners.

  • Associate’s degree in business administration or related field preferred.

Responsibilities

  • Greet and assist visitors, vendors, and employees.
  • Answer and direct incoming phone calls promptly and professionally.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain a clean, organized, and professional reception area.
  • Assist with general inquiries and direct requests to the appropriate department.
  • Provide exceptional customer service while representing the company's culture and values.
  • Maintain office supplies, equipment, and inventory levels.
  • Coordinate office vendors and service providers.
  • Schedule office maintenance and repairs as needed.
  • Manage conference room scheduling and meeting space preparation.
  • Assist with document preparation, filing, scanning, and record management.
  • Support administrative projects and special assignments.
  • Maintain Property Directories and Contact Lists.
  • Monitor shared email inboxes and route communications appropriately.
  • Maintain confidentiality of employee, resident, financial, and company information.
  • Support document retention and organization efforts.
  • Assist with company events, celebrations, and employee recognition programs.
  • Support onboarding preparations and welcome activities for new hires.
  • Help coordinate training sessions and company meetings.
  • Assist with employee engagement initiatives.
  • Promote a positive, team-oriented work environment.
