About The Position

This position involves managing clients, visitors, telephone messages and calls in a professional and efficient manner. The Corporate Office Coordinator performs various clerical duties which support the presentation and operation of our agency. The Corporate Office Coordinator is responsible for assisting clients in a smooth and efficient manner and adhering to all protocols in line with the agencys mission, vision, and values. The Corporate Office Coordinator is fundamental to our agency presenting a positive first impression of our agency to clients and visitors.

Requirements

  • High school graduate; college degree preferred.
  • Must be bilingual in Spanish and English.
  • Front Desk/Reception experience preferred.
  • Strong customer service and organizational skills.
  • Strong working knowledge of Microsoft Office 2010 - including Outlook, Word, and Excel.
  • Excellent communication skills and professional personal presentation.
  • Ability to work with minimal supervision.
  • Appearance is professional and complies with CCORs dress code.
  • Pass a physical examination and immunization requirements after being offered employment, and complete a health assessment and PPD annually thereafter.
  • Ability to lift up to 25 pounds and to sit, stand, bend, stoop, kneel, pull, climb, reach, and perform repetitive movements of the upper extremities.
  • Completion of CCOR's orientation program.

Responsibilities

  • Answer central telephone system and direct calls accordingly.
  • Professionally greet individuals entering the building and direct them to the correct destination while following safety procedures.
  • Manage inquiries and/or requests from customers and the public about services that the agency provides.
  • Provide general clerical and administrative support to the agency as needed with the approval of their supervisor.
  • Receive, sort and forward incoming mail.
  • Ensure that common areas in the office premises are equipped with required office supplies as appropriate.
  • Manage shipping and receiving, including loading and unloading of packages, and prepare FedEx and UPS shipping labels and boxes.
  • Assist Recruitment by screening and educating applicants of qualifications for employment.
  • Manage the aide and client call-in lists.
  • Email schedules to clients and families.
  • Maintain and email the weekly backups to all appropriate parties.
  • Assist with ordering food and supplies for meetings and events.
  • Perform other duties as assigned.
