About The Position

The Front Desk Receptionist serves as the first point of contact and hospitality ambassador for the Corporate Resource Center while providing administrative and operational support to the President of First Impressions and the Corporate Office. This role ensures a welcoming environment for visitors and team members while supporting daily office operations, vendor programs, logistics, and corporate initiatives that contribute to exceptional first impressions across New Perspective Senior Living Communities. Schedule: Monday – Friday | 8:00 AM – 5:00 PM

Requirements

  • 3–4 years of administrative, receptionist, or office support experience preferred
  • Strong organizational, communication, and customer service skills with a keen eye for detail
  • Self-motivated with the ability to work independently while managing multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office Suite and Docusign
  • Demonstrates professionalism and discretion when handling company information and supporting leadership initiatives

Nice To Haves

  • Knowledge of Click Up or similar project management tools preferred

Responsibilities

  • Serve as the first point of contact for visitors, guests, and vendors while maintaining a professional, welcoming, and hospitality-focused environment
  • Support the President of First Impressions in creating positive visitor and workplace experiences
  • Provide administrative support including document preparation, filing, mail processing, phone management, and general office coordination
  • Assist with tracking company credit card receipts and maintaining documentation for expense reporting
  • Assist the President of First Impressions with coordination of community-related services, national vendors, and organizational memberships
  • Coordinate services with janitorial providers, property management, and maintenance vendors for the Resource Center
  • Monitor facility needs and help maintain a welcoming workplace environment, including care of interior and exterior plants and décor
  • Maintain office supply inventory, oversee the company store, and assist with shipping, receiving, and promotional supply coordination
  • Assist the President of First Impressions with preparation and coordination of organizational meetings and office events
  • Coordinate hospitality for team member trainings and internal gatherings
  • Support seasonal and holiday decorations to maintain a welcoming environment
  • Maintain an organized, clean, and professional office environment to ensure the workplace operates smoothly and remains tour-ready at all times
  • Performs general clerical functions including typing, emailing, creating memos, filing, processing mail, answering phones and operating general office equipment.
  • Greet, screen, and direct all visitors.
  • Communicates and interacts with guests, vendors, and all levels of management in a kind, respectful and effective way.
  • Champions hospitality and always delivers excellent customer service.
  • Purchase and manage inventory for the country store.
  • Maintain stockroom, kitchen, and housekeeping supplies, and orders as needed to maintain operations.
  • Maintain and manage warehouse storage.
  • Planning, ordering, and managing meals and snacks for team member training programs.
  • Planning, ordering, and managing catered meals for the team members.
  • Manages the shipment and receipt of all products, materials, and supplies through FedEx and additional couriers.
