We’re looking for a Corporate Executive Assistant to provide high-level, confidential administrative support to the Chief Finance Officer and Chief Strategy & Governance Officer. This role is a trusted partner position and requires an individual who can work independently to perform a high volume of work under pressure in an environment where competing deadlines and multi-tasking is the norm. The ability to exercise discretionary decision making to determine the appropriate approach or procedures to be applied is essential. The role requires someone who can ensure day-to-day tasks are completed accurately and that any information shared with others is reliable and correct. Considerable discretion is required as the position is privy to and works with sensitive, highly confidential information. This role will report to the Team Leader, Corporate Executive Administration.

Requirements

  • 5+ years of experience in executive administrative support roles.
  • Advanced proficiency with Microsoft 365 (Word, Outlook, Excel, PowerPoint, Teams).
  • Office administration certificate (or related field of study) or equivalent experience.
  • Experience supporting governance practices (agendas, minutes, decision/action logs, records management).
  • Exceptional judgment, discretion, and ability to handle sensitive information.
  • Strong organizational and prioritization skills; calm and effective in a fast-paced environment.
  • Strong interpersonal skills, emotional intelligence, and a collaborative, inclusive approach.
  • Experienced working in environments where accuracy, discretion, and compliance are critical.

Responsibilities

  • Provide high-level, confidential administrative support to the Chief Finance Officer and Chief Strategy & Governance Officer.
  • Partner with executives to anticipate needs, triage requests, and exercise sound judgment on their behalf.
  • Manage and optimize complex calendars, resolving conflicts and reprioritizing with an enterprise-wide lens.
  • Coordinate end-to-end executive travel (itineraries, bookings, confirmations, changes) aligned to policy and preferences.
  • Prepare executives for meetings with complete, accurate, and timely materials, context, and briefing notes.
  • Support governance activities (committees/Board support as required), including agendas, minutes, action tracking, and records management.
  • Maintain strict confidentiality and act as a steward of sensitive, privileged information.
  • Collaborate within the Corporate Executive Assistant team to ensure consistent service, alignment, and coverage.
