About The Position

The Corporate Events Manager will work in a cross-functional capacity to research, plan, execute and measure small and large scale, single and multi-day corporate events in a variety of formats across the enterprise. This role will develop and execute events that showcase the UMB brand; support the company and line of business strategies; enhance client relationships; drive customer acquisition; and inspire associates. Some event experiences include coordination of air and ground travel, hotel, and special activities at destination area. Events are owned and executed solely by UMB and in partnership with other organizations or associated with sponsorships for both internal and external audiences scaling small (10 attendees) to large (up to 1,000 attendees). How you will spend your time: Research, plan, and execute assigned events from start to finish Partner with, manage, and develop vendor relationships on all events to ensure the events are executed successfully. Drive event budget development and planning process for all assigned events (independently and/or with cross-functional partners) while facilitating decisioning by a variety of event stakeholders. Accountable for full project management of timeline/deadlines, recommendations, deliverables, and task execution while communicating effectively to ensure transparency and clarity for partners and stakeholders. This includes oversight of project task deadlines, preparing communication presentations, and leading regular meetings with leadership, planning teams, and other stakeholders. Manage event execution and logistics including invitations and RSVP/registrations pages; RSVP/registrations management; contract negotiations, budget management, and invoice management; reporting and analysis requirements; materials and promo items In-Person Logistics such as venue, catering, technical/AV requirements, run of show management, parking, hotel blocks, asset delivery and set up (signage, nametags, props), travel, staging, etc. Travel to provide onsite support as necessary or provide direction to ensure associates can manage day-of event logistics independently. Develop and maintain master calendar of corporate events; develop, maintain, and improve event management dashboards, documentation, and templates; assess, analyze, and report on each event and events in aggregate to facilitate and inform leadership strategic decision-making. Research emerging strategies, tools, and trends in the events and meetings industry and recommend improvements and adjustments to current events, planning and processes. Manage and cultivate vendor relationships, negotiate to maximize value, and process contracts efficiently. Provide consultation and guidance for smaller events managed at local level or with smaller community partners. Display a professional, diplomatic manner. Cultivate positive working relationships with vendors, associates and executives. Other duties as assigned.

Requirements

  • 10+ years of corporate event planning experience
  • Bachelor's degree in Communications, Marketing OR any combination of education and experience that would provide an equivalent background
  • Working knowledge of: Event Management platforms, such as Cvent, Bizzabo Project management platforms, such as Asana CRM platforms for list management, tracking and reporting
  • Ability to multi-task in fast-paced environment with numerous events in multiple formats at various points in the planning and execution process
  • Strong presentation, collaboration, and negotiation skills
  • Demonstrates strong editing, written and verbal communication skills
  • High attention-to-detail with exceptional organization skills/successful prioritization (ability to multi-task)
  • Executive presence and organizational awareness
  • Proficiency with Microsoft Office (Word, Power Point, Excel)

Nice To Haves

  • Previous management experience
  • Knowledge of Salesforce CRM
  • Certified Event Planner designation
