About The Position

As the Project Specialist, you will provide high-level administrative support to members of the executive team. You will help conserve their time and enhance the company's image by acting as the primary liaison between the executives, key leadership, and Associates. In this role, you'll represent the executives both internally and externally. Working in a dynamic, entrepreneurial environment that is mission-driven and results-oriented, you'll need to be creative, have excellent judgment, and possess strong written and verbal communication skills. Your organizational and administrative abilities will help you balance multiple priorities effectively. You will take on projects independently, from initial conception through to completion, while also managing confidential matters with discretion. At times, you'll be required to work under pressure, handling various tasks while maintaining professionalism and confidentiality.

Requirements

  • A college degree or equivalent experience is preferred; a minimum of 1-3 years of experience working in a professional office environment is required.
  • Proficiency in Microsoft Office products, specifically Excel, Word, PowerPoint, and Outlook, is essential.
  • Excellent communication skills, including verbal, written, and listening, are required, with the ability to communicate effectively with a variety of people, including management and co-workers.
  • Results-driven with strong organizational skills and self-structure, capable of managing priorities, handling multiple tasks, and meeting deadlines.
  • Detail-oriented with exceptional follow-through skills.
  • Ability to utilize available resources within the company effectively.
  • Strong team player with a desire to help others achieve goals.
  • Excellent customer service attitude and skills, commitment to quality, and a strong work ethic are necessary.

Responsibilities

  • Represent the Executive team by welcoming visitors, reviewing correspondence, coordinating company events, addressing inquiries, and scheduling meetings. Attend sessions and ensure smooth communication with all stakeholders.
  • Provide hands-on support by drafting acknowledgment letters, personal correspondence, and completing critical administrative tasks to support the executive(s) in leading effectively.
  • Coordinate travel arrangements, develop itineraries and agendas, book transportation, and arrange accommodations to ensure seamless logistics for meetings and events.
  • Manage conflicting priorities by addressing urgent matters proactively and ensuring the timely completion of projects under pressure.
  • Handle credit card processing and reconciliation tasks efficiently.
  • Assist key leaders in formulating strategy, making consistent decisions, and facilitating communication across the organization.
  • Act as a liaison between multiple departments, key leaders, The Raymond Corporation, and Raymond Dealers, fostering collaboration and smooth communication.
  • Support other functions within the company, demonstrating flexibility, teamwork, and a collaborative spirit.
  • Evaluate processes to improve operational efficiency and effectiveness, implementing necessary changes.
  • Plan and execute events from start to finish, including banquets, team meetings, and holiday gatherings.
  • Assist with Associate recognition initiatives to promote a positive work culture.
  • Stay updated on industry trends and best practices by participating in educational opportunities and maintaining professional networks.
  • Enhance the company’s reputation by taking ownership of new challenges, exploring opportunities to add value, and supporting the overall goals of the organization.
  • Perform any other duties as assigned or required to support the company's overall operations and objectives.
