About The Position

The HR Assistant II – Corporate Accommodations plays a key role in delivering a best-in-class experience for employees navigating leave of absence, disability, and workplace accommodation needs. In this individual contributor role, you provide end-to-end case management support, serving as a trusted single point of contact for employees throughout their accommodation or leave events. You will apply your knowledge of leave and accommodation policies and regulations, collaborate with cross-functional partners, and ensure employees receive clear, compassionate, and compliant guidance during significant life events.

Requirements

  • Bachelor’s degree
  • At least 2 year of experience in case management
  • Basic familiarity with leave of absence, disability, or accommodation concepts, including ADA/ADAAA and FMLA.
  • Ability to review, interpret, and apply policy and regulatory guidelines to individual employee cases.
  • Strong written and verbal communication skills, with the ability to explain complex information clearly to employees, managers, and business partners.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
  • Proficiency with MS Word, Excel, and Outlook.
  • Ability to manage a high volume of cases and competing priorities in a fast-paced environment while maintaining strong attention to detail.

Nice To Haves

  • Experience providing case management or claims management services in a leave of absence, disability, or accommodation program.
  • Experience working for a large, multi-state employer or on behalf of an insurance carrier or third-party administrator (TPA).
  • Familiarity with federal and state leave and disability regulations, including ADA/ADAAA, FMLA, PWFA, and applicable state statutes.
  • Experience using a case management system, including reviewing cases for eligibility, documenting case notes, and managing task queues.
  • Exposure to HR processes, employee relations, or benefits administration.
  • Experience supporting employees through return-to-work or modified duty processes.
  • Strong problem-solving and critical thinking skills, with the ability to adapt quickly to changing circumstances and incomplete information.
  • Exceptional customer service orientation, with experience managing employee or customer expectations in sensitive or emotionally charged situations.
  • Experience working with confidential medical or HR information and maintaining strict confidentiality requirements.
  • Interest in contributing to a high-volume, corporate Disability & Leave Services environment focused on continuous improvement and employee experience.

Responsibilities

  • Serve as the primary point of contact for assigned employees throughout their accommodation or related leave events, providing holistic and consistent case management support.
  • Initiate and respond promptly to employee inquiries regarding accommodation events, benefits, and available options, ensuring clear and empathetic communication.
  • Review and interpret medical documentation and other supporting information in compliance with applicable federal and state laws and internal policies.
  • Apply policy, regulatory guidelines, and duration best practices to individual cases, leveraging internal tools and resources to guide appropriate accommodations.
  • Develop, monitor, and adjust case management plans based on employees’ changing needs and circumstances, ensuring continuity of support.
  • Address and respond to sensitive and complex situations with discretion, professionalism, and sound judgment.
  • Proactively troubleshoot issues and remove barriers that may arise before, during, or after a leave or accommodation event.
  • Respond to employee-impacting issues in a timely manner and ensure appropriate, accurate communication to all relevant parties.
  • Identify and solve problems sometimes with limited information, using strong critical thinking and decision-making skills.
  • Educate managers and business partners on employee needs, accommodation processes, and expectations before employees go on leave and when they return to work.
  • Provide regular verbal and written updates to employees and stakeholders, ensuring information is clear, concise, and easy to understand.
  • Ensure compliance with standard operating procedures, federal and state regulations, and internal company policies in all case handling.
  • Maintain accurate, complete, and timely documentation in case management systems and related HR tools.
  • Consult, coordinate, and partner with third-party administrators, HR, Safety, Legal, Payroll, Benefits, and other internal teams to support effective case resolution.
  • Support employees through return-to-work or modified duty processes as needed, collaborating with stakeholders to facilitate successful transitions.
  • Handle confidential medical and HR information with a high level of discretion and professionalism.
  • Manage a high volume of cases and competing priorities in a fast-paced environment while maintaining attention to detail and service quality.
  • Perform other related duties as assigned to support the broader Disability & Leave Services and Corporate Accommodations programs.
