About The Position

The Coordinator Studios Operations and Housing supports the Manager of Carnival Studios with the day-to-day operations of the 45,000 sq ft rehearsal facility and 24-unit leased housing accommodations. This role is integral to ensuring the smooth functioning of both the rehearsal spaces and the living quarters provided for team members ensuring the premises are kept in excellent condition for its tenants. Responsibilities include assisting the Housing Associate with the arrivals and departures of team members, including handling administrative tasks associated with these processes. The role also supports event coordination and inventory management.

Requirements

Associates Degree in Education, Hospitality & Tourism, Entertainment Management, Sports and Recreation, Business and/or Administrative Support or equivalent to 2 years experience in a similar role
Excellent verbal and written communication skills for effective interaction with team members, vendors, and stakeholders.
Skilled in setting priorities and maintaining well-organized tasks and projects.
Proficient in project management principles and capable of multitasking.
Flexible and able to adjust to changing circumstances and handle unexpected challenges.
Meticulous in ensuring accuracy and thoroughness in all tasks.
Strong aptitude for identifying issues and developing effective solutions.
Collaborative and willing to work with others to achieve common goals.
Capable of handling multiple tasks and projects independently.
Mature and able to maintain confidentiality.
Knowledgeable in office administration and management practices.
Strong ability to manage time efficiently to meet deadlines and keep projects on track.
Proficient in Microsoft Office 365 applications, with advanced skills in Excel, Word Power Point, and online databases is a plus.
Clean driving record
Provide proof of valid car insurance
Must have their own form of transportation

Responsibilities

Responsible for the day-to-day coordination of building operation and preventative maintenance of the Carnival Studios facility.
Schedule and oversee regular maintenance for both the rehearsal facility and the housing accommodations to ensure they are in optimal condition for occupancy.
Coordinate building deliveries, team member mail and shipments.
Support the Carnival Studios Associate to help maintain shipboard team member's housing for the duration of their stay.
Verify Team Member documents upon arrival.
Meet Team Members at irregular hours depending on arrival times.
Help assemble and transport furniture and apartment supplies.
Assist with setting up building functions and celebrations such as Studio Star, Department meetings, daily rehearsals, and interdepartmental functions.
Support the Associate with ordering and delivery of facility and apartment supplies as required.
Receive and manage weekly deliveries from Centergate, ensuring that all items are accounted for and distributed appropriately.
Participate in team meetings, projects and brainstorming sessions to encourage collaboration and idea sharing.
Foster a positive team environment by recognizing individual contributions and promoting a culture of mutual respect and support.

Cultivate a culture of trust and mutual respect with vendors to foster open communication and successful project execution.
Embrace safety practices and attend training programs, ensuring the highest level of guest and crew safety while maintaining operational integrity.
Learn safety practices and standards specific to kids and teens.
Ensure teams are prepared to fulfill onboard safety-related duties.
Ensure full compliance with company policies and procedures, emphasizing safety protocols and operational standards as outlined by Global HESS (Health, Environment, Safety, and Security) and ADA guidelines.
Leverage data to accurately determine usage guidelines for giveaways and supplies.
Submit reports to showcase changes and improvements in processes, orders, deliveries, and timelines.
Monitor and evaluate the effectiveness of programs and partnerships; make recommendations for enhancements.
Collect feedback from various outlets to continuously improve guest experiences and operational efficiency.
