About The Position

The Coordinator, Sports Experiences will be responsible for coordinating hotel reservations on large-volume sporting events in our reservation system; for example, 100 soccer teams traveling for a weekend event. Some of our clients include U.S. Soccer, US Youth Soccer, IMG Academy, PGA of America, X-Games, USA Football, MLS Next and many more. The Coordinator will negotiate hotel contracts, manage hotel inventory daily, communicate with customers and manage all last-minute changes leading into an event. This is a fast-paced role, where the Coordinator will need to handle multiple tasks and projects simultaneously, consistently meet deadlines and ensure customers have great experiences.

Requirements

  • Bachelor’s Degree in hospitality, sports management, business or a related field
  • Minimum of 1+ years in the sports, travel and/or hospitality industry
  • Proficiency in Microsoft Office applications; in particular Excel and Outlook

Responsibilities

  • Provide all customers attending event with exceptional customer service
  • Contract and negotiate hotel contracts with properties according to event specifics
  • Work with marketing department to create and distribute consistent event-related communications
  • Create event and hotel-builds in proprietary reservation system
  • Manage hotel inventory daily across markets for city-wide events
  • Optimize sales and maintain strong hotel relationships in markets
  • Help travelers with their reservations and resolve any guest related issues, including during event weekends
  • Manage all last-minute changes leading into events
  • Compile and maintain event summary information, track historic sales and hotel reporting
  • Gain knowledge of all events to provide customer support for inbound calls, including scheduled phone hours
  • Audit hotel rooming lists to ensure accuracy of reservations
  • Support accounting with reconciliation and collection process
  • Assist in onsite needs, fulfillment and hospitality services
  • Travel Must be adaptable with work and travel schedule, and be available to travel for work, which may include extended work hours during nights, weekends, and holidays. This position will require less than 10% travel.
