About The Position

The Coordinator in the Curricula & Course Management Division is responsible for coordinating the course section build for sections with special requirements. The Coordinator will also manage student and faculty accommodations, publish and maintain the "Building a Course Offering" training guide, and monitor faculty assignments. Must have an extensive knowledge of university policies, procedures, and practices and be able to respond to a myriad of questions, problems, and situations dealing with curricular and course scheduling issues. Also, this person will assist with the planning of the course offerings each semester as well as assisting individuals campus-wide with Workday Student and 25Live.

  • Extensive knowledge of university policies, procedures, and practices
  • Ability to respond to a myriad of questions, problems, and situations dealing with curricular and course scheduling issues
  • Valid U.S. work authorization at the time of hire and maintain that valid work authorization throughout employment.

Responsibilities

  • Responsible for the scheduling of 200+ general purpose classrooms for general meetings, organizational meetings, final examinations, orientation programs, Supplemental Instruction Leader session, Leisure Courses, Biology Boot Camps, 4H, ACT Testing, School of Banking, etc. For all outside agencies, must work with the Department of Facility Services to complete a campus use agreement and coordinate a reservation. Responsible for all University-approved organizations' classroom reservations. Serves as primary room scheduler for events held on campus. (20%)
  • Responsible for the scheduling of 200+ general purpose classrooms for institutional space. Utilizes scheduling software to assign classes to classrooms while maximizing utilization. Coordinates room assignments for faculty who teach courses back-to-back. Serves as primary room scheduler for classroom instruction. (20%)
  • Responsible for manually assigning classes and events based on special requirements. Special requirements include but are not limited to the following: disabled faculty and student needs; special needs of departments, individual faculty members, or organizations; demands for large (80-capacity and above) classrooms; and working with academic departments on specific course section needs. (15%)
  • Responsible for publishing and maintaining the “Building a Course Offering” training guide. Responsible for updating publication as processes/software changes. Assists the campus community on the University's student information system and associated software and applications. (10%)
  • Responsible for ensuring that faculty are accurately assigned to teach all courses. This process must be completed before the 14th class day each semester. All grades (midterm/interim and final) are submitted by the faculty via Moodle/Workday Student. Faculty assignments must be complete and accurate to ensure that faculty members have access to their grade sheets. Works directly with the Office of Budget and Planning to ensure faculty assignment data is available for the production of reports required by the Board of Regents and to ensure that proper compensation is made to the teaching faculty. (10%)
  • Responsible for training the campus community on the use of Workday Student, including, but not limited to, faculty assignments and section creation. Also assists with training the campus community on room scheduling/reservation software. This will be a continuous process that requires outreach and strong interpersonal communication skills. (10%)
  • In coordination with the Assistant Registrar, assists with special projects related to the Workday Student implementation, including faculty assignment reports, eligibility rules for courses, academic requirements for degree programs, etc. Plays a pivotal role in the creation, implementation, and rollout of the Extend App, which will allow on-campus departments to make course section changes in Workday Student. (10%)
  • Supervises and trains student assistants, coordinates their schedules, assigns and reviews their work, and reviews time sheets. Other related duties as assigned by supervisor. (5%)
