About The Position

The National Geographic Society is seeking a Coordinator, Programs (Science and Innovation) to provide critical and tactical support to the Perpetual Planet Expeditions (PPE) team. This role involves administrative and organizational support, project and team management assistance, budget coordination, stakeholder engagement, and data tracking. The PPE program is a significant initiative at the Society, focused on supporting expeditions to explore critical environments, uncover new insights about Earth's vital systems, and inform solutions for climate and environmental change through science, technology, and storytelling. The ideal candidate will be a motivated self-starter, capable of working independently and collaboratively in a fast-paced environment.

Requirements

  • Bachelor's degree in Environmental Science, International Development, or related field.
  • 2+ years of experience supporting non-profit programs, preferably in the environment/climate space.
  • Highly developed oral and written communication skills.
  • Ability to work with individuals and groups at all levels.
  • Ability to work on multiple projects under tight deadlines with changing priorities in a dynamic, fast-paced environment.
  • Ability to take direction from multiple team members while prioritizing tasks with little direction.
  • Ability to synthesize complex information.
  • Ability to develop briefing materials for senior staff.
  • Ability to create presentation “decks” (Google slides, PPT + Keynote).
  • Proficient with G-Suite tools and others (Salesforce et al).
  • Ability to manage tasks and responsibilities that span multiple teams.
  • Ability to manage appointments, meetings, and multiple schedules.
  • Must be highly organized, detail-oriented, and able to learn quickly and adapt to new situations.
  • Legally authorized to work in the United States.
  • Position is not eligible for visa sponsorship.

Nice To Haves

  • Field experience a plus.
  • Intermediate to advanced knowledge of Microsoft Office and Google Suite Workspace software, Dropbox, and project management software such as Airtable is highly preferred.

Responsibilities

  • Assist with meeting scheduling, note-taking, and agenda development.
  • Update team organizational tools such as GANTT charts, program documents, and work plans.
  • Support unified metrics tracking.
  • Manage contracting and invoicing processes, including drafting, sending, and tracking contracts, and processing and recording project-related expenses and invoices.
  • Set up and onboard new vendors, and process invoice payments.
  • Provide administrative support to the Senior Manager, including coordinating travel and expense reimbursement.
  • Support the Vice President with internal and external meeting preparation.
  • Assist with all aspects of in-person and virtual meeting planning for internal and external stakeholders.
  • Support staff and Explorer needs related to expedition logistics (permits, gear, shipping, lodging, etc.).
  • Coordinate established processes to ensure staff have necessary information and resources.
  • Coordinate logistical needs for large programmatic events/convenings.
  • Develop program presentation materials, including decks, talking points, and agendas.
  • Circulate meeting agendas, follow up with key notes and action items, and liaise across divisions to track progress.
  • Support team members with program travel logistics.
  • Gain a comprehensive understanding of the organization's goals, strategy, and Explorer-led projects.
  • Develop a strong understanding of the Perpetual Planet Expeditions program and relevant opportunities across NGS and National Geographic Partners (NGP).
  • Support effective communication within the team and with other NGS departments.
  • Assist with internal and external communications for Science and Innovation constituents, particularly visual presentations.
  • Contribute to initiatives across the Science and Innovation team and participate in internal cross-platform workgroups.
  • Develop and maintain strong working relationships with other NGS divisions and external teams.
