About The Position

This role contributes to Cardinal Health by providing business and administrative support, assisting general business operations through various administrative and data support activities. The position involves performing administrative activities to support a work team, potentially assisting with budget preparation, record maintenance, and generating reports. It utilizes company software for reports, statistics, timelines, tables, graphs, correspondence, and presentations, and may involve designing processes to improve workflow. The role also serves as an administrative liaison for internal and external communications regarding administrative matters.

Requirements

  • Knowledge of personal computers and information systems
  • Proficient in keyboarding and good at spelling, punctuation, grammar, and oral communication
  • Must be team oriented, approachable, flexible and strong interpersonal skills
  • Proficient in MS Office Systems
  • Fully bilingual (Spanish and English)
  • Purchasing skills required
  • BA Secretarial Sciences or any related field
  • At least two (2) years of secretarial experience
  • Previous working experience with word processing and power point software

Responsibilities

  • Provides general support to all functional departments
  • Receives company visitors and arranges for escort services
  • Operates telephone console to route incoming calls
  • Schedules appointments and meetings, coordinating activities, services, and participant attendance
  • Makes travel arrangements and assists in expense report preparation
  • Operates a personal computer and printer for various documents
  • Maintains files of correspondence, documents, reports, and records
  • Assists personnel with telephone and paging systems, and handles company mail distribution
  • Ensures proper functioning and maintenance of photocopiers and postal meters, requesting maintenance as needed
  • Coordinates vending machine replenishment and employee reimbursements
  • Manages announcements, publications, and information posted on bulletin boards
  • Coordinates and organizes employee activities and events
  • Expedites requisition forms for office supplies
  • P-Card reconciliation
  • Responsible for the timely procurement of MRO supplies, contract agreements, and contract compliance implementation
  • Maintains the purchasing module database for materials requisition orders (MRO)
  • Identifies, prioritizes, evaluates, and pursues opportunities for sourcing and cost reduction
  • Ensures services received meet quality standards
  • Reviews spending data for small business vendors, supports small business outreach, and aligns processes
  • Ensures specific business enterprises have equal and fair access to developing business relationships
  • Serves as EHS contact for the facility
  • Handles clerical EHS tasks, including record retention and updating EHS communication boards
  • Provides EHS training to new employees and contractors
  • Ensures contractor training is completed for on-site contractors
  • Shares Safe Work Plans and inspections with EHS Advisor for review and filing
  • Prepares and controls security badges for employees, visitors, and contractors
  • Manages employee lockers, assigning and controlling locks and keys
  • Provides security training to new employees during onboarding
  • Provides security training to key employees on opening and closing the facility
  • Receives, analyzes, and deploys EHS and security alerts and huddles
