About The Position

The Publicity Coordinator provides high-level administrative and operational support to the SVP of National Publicity while playing an active role in the day-to-day execution of film publicity campaigns. Responsibilities span executive support — including calendar, travel, expenses, and correspondence — and hands-on campaign coordination across national, digital, and talent publicity efforts.

Requirements

  • 1+ year of relevant experience (Strong internship experience considered)
  • Bachelor’s Degree
  • Highly Proficient with MS software including Word, Excel & PowerPoint
  • Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external contacts and senior management
  • Social media proficient

Responsibilities

  • Manage the phones, calendar, travel, expenses, invoices, and day-to-day operations of the SVP of National Publicity.
  • Coordinate and schedule all team meetings.
  • Communicate daily with executives, filmmakers and talent representatives.
  • Assist with drafting filmmaker and talent schedules and inputting relevant updates (i.e. event details, travel, glam/grooming, security, etc.).
  • Manage all travel arrangements and logistics for filmmakers, talent and their support teams (representatives, glam, security, etc.) for all publicity-related events, requiring extensive organizational skills, attention-to-detail, and close monitoring of movements while talent are traveling for the campaign.
  • Arrange filmmaker and talent glam services, including hair, makeup, and styling, and security as needed ensuring all logistical, contractual, and budgetary requirements are met.
  • Work with legal to manage any legal documents required for filmmaker and talent participation in publicity activities, including visa issuance, creation of NDAs.
  • Manage invoices, purchase orders, and vendor billing inquiries from publicity-related vendors (e.g., groomers, stylists, security) while tracking all costs to support budget oversight and accuracy.
  • Coordinate all contract requests with outside vendors and handle payments; manage invoices, PO’s, and billing inquiries from publicity vendors with the Administrative Assistant to ensure that all budgets are current.
  • Maintain team documents; gathering and inputting campaign updates to calendars, timelines, status reports, filmmaker decks, etc. Responsible for working with credits for one pager and production notes.
  • Responsible for managing internal and external distribution lists for all publicity documents.
  • Review all press breaks every morning for each film title and circulate in a timely manner internally to studio executives and marketing/production teams as well as externally to filmmakers and personal publicists.
  • Work with national and digital teams to organize all information for screening reports and distribute to appropriate lists.
  • Responsible for searching, compiling and distributing all reviews to appropriate lists and in a timely manner.
  • Create All Media Invites for NY/LA
  • Responsible for setting and staffing screenings (talent, press, internal), arranging print trafficking, maintaining RSVP lists with publicists and Administrative Assistant.
  • Handle film talent and filmmakers on-site at red carpets, press junkets, interviews, and appearances, conventions (i.e. CinemaCon, Comic-Con, WonderCon, etc.), award shows, film festivals, and various other publicity events.
  • Be knowledgeable of national print, broadcast, and radio outlets and writers/hosts in LA & NY.
  • Brainstorm with national and online publicity teams for film initiatives.
  • Research projects and special assignments as needed.
