About The Position

The Coordinator, Housing Operations is responsible for coordinating the assignment and placement of students within university housing. This position works collaboratively with the Housing Operations team and departmental leadership to ensure efficient and timely housing assignments, accurate data management, and a high level of customer service. The Coordinator supports occupancy management processes, maintains student housing records or accounts, and communicates effectively with students, families, and campus partners to ensure a seamless housing experience. The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.

Requirements

  • Bachelor’s degree in higher education, business administration, student affairs, or a related field or equivalent combination of education and experience.
  • Three years of related experience in housing operations, student affairs, or a related administrative function.
  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Knowledge of basic accounting.
  • Ability to multitask and work cooperatively with others.
  • Strong verbal and written communication skills.
  • Ability to work beyond normal business hours, including evenings or weekends as needed during peak operational periods (e.g., opening/closing).
  • Ability to work in a fast-paced office environment and interact with various populations.
  • Valid driver’s license required and ability to operate university vehicles.
  • Full-time, 12-month position.
  • Ability to represent Housing & Residential Life in a professional manner in all forms of communication.

Nice To Haves

  • Experience with housing management systems such as StarRez, Banner, or similar platforms.
  • Previous experience in university housing assignments or occupancy management.
  • Four years of higher education, student affairs or higher education housing experience (e.g. Housing, Residence Life, Student Activities, Career Services).
  • Strong organizational and data management skills with attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent customer service, communication, and interpersonal skills.
  • Proficiency with housing management systems and Microsoft Office applications.
  • Ability to maintain confidentiality and handle sensitive student information responsibly.

Responsibilities

  • Coordinate room assignments and placement of students in university housing in accordance with established policies and procedures.
  • Process housing applications and maintain accurate student records while ensuring data integrity and confidentiality.
  • Manage room change requests, cancellations, and billing-related adjustments in compliance with university policies.
  • Input and manage student housing and dining information within housing management systems (e.g., StarRez or similar platforms).
  • Administer residency requirement exemption processes and maintain documentation.
  • Monitor occupancy trends and assist in generating reports to support operational decision-making.
  • Provide high-quality customer service to students, families, and campus stakeholders regarding housing assignment and availability or student accounts and billing. May assist in low-level student conflict mediation.
  • Ensures digital or physical informational and marketing materials maintain accurate and up-to-date information (rates, dates, deadlines, amenities, resources, special/themed communities, etc.).
  • Respond to inquiries via phone, email, and in-person communication in a timely and professional manner.
  • Assist with early arrival processes and communicate housing timelines, procedures, and expectations.
  • Collaborate with Housing Operations and Residence Life staff to coordinate move-in and move-out processes.
  • Attends enrollment and student orientation events and assists with presentation or resource fair outreach for housing operations.
  • Support departmental initiatives to ensure smooth residential transitions and occupancy management.
  • Work cross-functionally to ensure timely and accurate housing assignments aligned with institutional needs.
  • Performs other duties as assigned.
