This role would support the administrative needs of the Accreditation, Scientific Services, and Finance/Accounts Payable teams, among others as necessary, across the organization, with a primary focus on generating and processing Faculty Paperwork, Payments, and other documents needed for medical education programs. Secondary responsibilities include assisting with several predefined administrative tasks necessary to perform the Science/Editorial process.

  • Excellent interpersonal and communication skills (oral and written)
  • Perform well and with accuracy in a fast-paced environment with changing demands
  • Manage several projects with tight timelines, documenting changes, and working with a sense of accurate urgency
  • Critically analyze documents, determine differences from standards, and seek solutions
  • Problem-solving mentality; high energy level; flexible
  • Expertise in Microsoft office (PowerPoint, Word, Excel, Outlook, etc)
  • Undergraduate degree and/or 2-3 years of administrative experience

Nice To Haves

  • Salesforce and program management software experience preferred

Responsibilities

  • Communicate with external faculty as the liaison for executing paperwork necessary for faculty involvement in the creation of medical education materials (eg, invitations, agreements, conflict of interest forms, financial forms)
  • Create and track paperwork in Docusign, Salesforce, and SharePoint-based management systems
  • Responsible for processing expense payments
  • Schedule faculty calls on behalf of internal staff as requested
  • Obtain and upload faculty bio, headshot, and title/affiliation information and maintain internal systems
  • Facilitate request for faculty to provide social media videos
  • Assist Scientific Services team in various tasks related to preparing forms and documents necessary for the presentation of educational content
  • Moderate comments from learners on online activities and seek Scientific Services team input when necessary
  • Responsible for managing multiple email inboxes
  • Follow standard operating procedures
  • Other tasks as designated by Manager, Faculty Affairs
  • Evening and weekend hours are occasionally necessary
