About The Position

As the Coordinator, Facilities & Events, you’ll play a vital role in creating welcoming, inclusive, and well-organized performing arts experiences. You’ll collaborate across teams to support students, faculty, and audiences while helping ensure that our performance spaces reflect Duke’s commitment to excellence and accessibility. In this role, you’ll take the lead in coordinating facility scheduling systems and delivering exceptional front-of-house operations. You’ll bring structure, consistency, and creativity to how spaces are scheduled, events are supported, and audiences are served.

Requirements

  • Work generally requires a demonstrable knowledge of performing arts environments or venue-based operations acquired through a bachelor’s degree in the performing arts or a related field.
  • Work requires one year of coordination or management experience in the performing arts or a directly related field (such as a student tour manager or a stage operations coordinator) to become familiar with the administration of activities necessary to provide house, facilities and equipment management for a music department OR an equivalent combination of relevant education and/or experience.

Responsibilities

  • Manage and maintain the departmental performance calendar, including concerts, rehearsals, and events across venues such as Baldwin Auditorium and Nelson Music Room
  • Coordinate long-range scheduling and space planning for academic and performance programs
  • Administer the 25Live scheduling system and serve as the primary point of contact for scheduling requests
  • Resolve scheduling conflicts, ensure equitable space utilization, and maintain accurate planning data
  • Collaborate with Duke Arts, faculty, students, and production staff to align logistics and programming needs
  • Lead on-site coordination of audience-facing operations during events
  • Develop and implement consistent front-of-house practices that promote inclusivity and excellent service
  • Oversee seating, accessibility accommodations, and patron flow to ensure a safe, welcoming experience
  • Recruit, train, and supervise student ushers
  • Serve as the primary contact for audience concerns and provide real-time problem resolution
  • Ensure compliance with safety, accessibility, and emergency procedures
  • Continuously improve audience experience, service delivery, and operational efficiency
  • Partner with Facilities, Housekeeping, Security, and other university teams to support building operations
  • Ensure consistent application of facility use policies and procedures
  • Act as a liaison across administrative, production, and event teams
  • Oversee administrative tracking of shared departmental resources and equipment
  • Monitor resource usage, condition, and availability to support planning and readiness
  • Coordinate maintenance, repairs, procurement, and inventory tracking
  • Support resource logistics and allocation across departmental activities
  • Contribute to special projects and perform other duties as assigned to support departmental success
