About The Position

The Coordinator, Donor Relations supports the Longhorn Foundation's donor stewardship and engagement strategy, with a primary focus on Annual Fund and Longhorn Foundation membership benefit activation, fulfillment, and donor engagement. Working under the direction of the Assistant Director, Donor Relations, this position helps create a consistent, personalized, and high-quality experience for Longhorn Foundation donors throughout the donor lifecycle.

Requirements

  • Bachelor's degree.
  • One year of experience in development, donor relations and/or stewardship or in an applicable intercollegiate athletics position.
  • Strong organizational skills and attention to detail, along with a demonstrated ability to proactively think critically, and balance concurrent priorities.
  • Strong attention to detail and a high standard of excellence.
  • Ability to be flexible when confronted with a multitude of changing priorities.
  • Must be able to multi-task and effectively prioritize multiple events, requests, and situations.
  • Ability to work in a team environment where a project’s success is determined by both the individual and team’s efforts.
  • Excellent communications skills, verbal and written.
  • Intermediate to advanced proficiency with Microsoft Office software.
  • Relevant education and experience may be substituted as appropriate.
  • Class "C" operator's driver's license.
  • Must provide a current three year driving record from the current state of residence.

Nice To Haves

  • More than one year experience in executing and planning events, and/or developing high-end special events/dinners or related experience in higher education or intercollegiate athletics.
  • Stewardship fulfilment experience.
  • Experience with budget management and vendor contract management.
  • A familiarity with athletics fundraising.

Responsibilities

  • Coordinate the activation, communication, and fulfillment of Annual Fund and Longhorn Foundation membership benefits, and maintain an annual benefit activation calendar.
  • Partner with Annual Fund, Ticketing, Premium Seating, Events, and Communications to ensure benefits are delivered accurately and on time.
  • Monitor benefit participation and maintain accurate eligibility and fulfillment records.
  • Manage Annual Fund acknowledgement cycles and stewardship calendars; coordinate timely, personalized donor thank-you communications and recognition.
  • Collaborate with Development Communications to plan and execute donor touchpoints, including digital and physical collateral.
  • Support recognition of key donor moments (birthdays, membership anniversaries, milestone gifts) and track engagement to help inform future strategies.
  • Coordinate annual Membership Kit production and fulfillment with in-house designers and/or third-party vendors.
  • Support the Longhorn Foundation Student Member program, including benefits, event planning, fulfillment, and communications.
  • Assist with Donor Appreciation Month, tailgate events, and giving society (DeLoss Dodds Leadership Team and United Texas Circle) benefit fulfillment.
  • Support gameday management of hospitality clubs and spaces for football, basketball, and baseball.
  • Maintain inventory of Longhorn Foundation stationery, donor awards, and stewardship materials, and coordinate re-ordering as needed.
  • Maintain accurate stewardship and benefit fulfillment records; develop tracking reports on donor engagement and participation.
  • Build strong working relationships with Annual Fund, Development, Ticketing, Events, T Association, and other internal and external partners; provide responsive, professional service to donors, staff, and vendors.
  • Other related functions as assigned.

  • Annually obtain prior written approval and report all outside activities and outside income.
  • Report knowledge of, or reasonable cause to believe, violation(s) of state or federal laws, policies, rules, or regulations of the University, Conference, or NCAA to IA ARMCS or IA HR.
  • Fully cooperate with any investigation by providing complete and accurate information when requested to do so by Texas Athletics and/or the NCAA and do not influence others in any way during an investigation.
