About The Position

The Coordinator, Corporate & Volunteer Services provides operational support for RMHC Bay Area’s individual, community, and corporate volunteer experiences. This role coordinates the day-to-day scheduling, data management, communications and logistics that make volunteer and corporate engagement possible, including managing corporate volunteer group information in VolunteerHub, sending pre-visit communications, and supporting on-site activities. This Coordinator serves as a key point of cross-functional communication, helping ensure volunteer opportunities are coordinated with programs, operations, and the corporate team before being promoted externally. The role supports seasonal engagement planning that aligns volunteer and corporate activities with RMHC Bay Area’s year-round fundraising priorities. The coordinator also serves as a liaison between Programs, Operations and Advancement, helping capture events, volunteer engagements, and community stories. Additionally, the position supports staff training and positive staff-volunteer relationships and coordinates volunteer recruitment, placement, onboarding, ongoing engagement, and recognition.

Requirements

  • Minimum of two years of experience in volunteer coordination, community engagement, event logistics, hospitality, nonprofit programming, relationship management, or a related area.
  • Experience coordinating activities, programs, events, or relationships involving multiple internal and external stakeholders.
  • Experience interacting professionally with individuals from diverse cultural, age, and socioeconomic backgrounds.
  • Demonstrated ability to work comfortably and professionally with volunteers, staff, community partners, and members of the public.
  • Ability to work in a semi-medical environment with children receiving treatment for life-threatening illnesses and their families.
  • Ability to work a flexible schedule, including occasional evenings, weekends, and holidays, based on program and volunteer needs.
  • Valid California driver’s license.
  • Ability to lift and transport materials weighing up to 50 pounds.
  • Proficiency with Microsoft Office and the ability to learn volunteer management and organizational database systems.

Nice To Haves

  • Experience with VolunteerHub or a similar volunteer management platform preferred.
  • Bachelor’s degree in Hospitality Management, Social Services, Child Development, Nonprofit Management, Communications, or a related field preferred. An equivalent combination of relevant education and experience may be considered.

Responsibilities

  • Coordinate the recruitment, placement, onboarding, orientation, training, and ongoing engagement of individual and group volunteers across RMHC Bay Area programs.
  • Collaborate with program managers and site supervisors to identify volunteer needs and coordinate meaningful assignments that support program and organizational priorities.
  • Support staff in effectively directing volunteer activities and building positive working relationships with volunteers.
  • Maintain volunteer role descriptions, procedures, training materials, and operational workflows, and implement volunteer satisfaction, recognition, and stewardship activities.
  • Coordinate registration, scheduling, confirmations, pre-visit communications, and logistics for corporate and community volunteer groups.
  • Maintain accurate volunteer and corporate group records, schedules, participation data, service hours, and activity information in VolunteerHub and other organizational systems.
  • Provide day-of logistical support for corporate volunteer engagements and coordinate with the Manager, Corporate Philanthropy and Engagement and the Development Officer, Corporate Partnerships.
  • Facilitate volunteer orientations, tours, meal programs, care-kit builds, donation drives, and other corporate and community engagement activities.
  • Coordinate with Programs, Operations, and Advancement to support seasonal volunteer opportunities aligned with organizational and fundraising priorities.
  • Maintain a shared calendar of volunteer and community engagement opportunities and provide regular program and event updates to internal partners.
  • Support organizational communications and donor stewardship by capturing and organizing program stories, photographs, videos, sponsorship commitments, and recognition requirements in accordance with applicable procedures.
  • Coordinate volunteer activities and program logistics across RMHC Bay Area locations, including Stanford, Oakland, Mission Bay, and affiliated hospital campuses.
  • Coordinate supplies, inventory, materials, transportation, and other operational needs for volunteer meal services, hospital hospitality programs, summer camp, care-kit activities, and engagement events.
  • Respond to volunteer inquiries, coordinate service-hour and reference requests, support in-kind donation activities, and prepare reports regarding participation, engagement outcomes, and program effectiveness.
