About The Position

Summary : The Coordinator - Corporate and Community Education Operations for the Corporate and Community Education department is primarily responsible for coordinating and performing specialized business/industry enrollment, financial duties, data collection and data reporting relating to contract training and open enrollment courses offered by the department. Compensation for the Coordinator - CCE Operations is $45,240.00-$52,041.60 annually. Essential Functions: T his list is meant to be representative, not exhaustive. Requirements

  • Associate degree in accounting, business or related field.
  • 2 years of experience in business, data management and accounting.
  • Proficient in MS Office applications, primarily Access, Excel and Word.
  • Valid driver’s license with an acceptable driving record.
  • Strong multi-tasking and organizational skills.
  • Strong verbal and written communication skills.
  • Strong interpersonal skills, including the ability to establish and maintain cooperative and professional working relationship others.

Nice To Haves

  • Bachelor’s degree in business, accounting or related field.
  • 1-3 years of experience in program management.
  • Experience using Power BI
  • Experience working in a position of customer service and client relations.
  • Experience working with registration and payment systems.

Responsibilities

  • Manage, coordinate and oversee the process and functions that support the department’s current registration and payment functions.
  • Work with Administrative Assistants to ensure all registration processes are being conducted efficiently and accurately.
  • Handle customer service issues received in person, via phone or via email.
  • Monitor and analyze Accounts Receivable activity and follow up on outstanding contract and open enrollment balances.
  • Coordinate and execute invoicing for contracts and some open enrollment courses.
  • Develop and maintain spreadsheets for accurate reporting analysis of contract training events.
  • Review all enrollment and financial reports to ensure accuracy.
  • Analyze refund report and authorize refunds.
  • Assist Coordinators with pricing structure for open enrollment and contract training by developing initial cost analyses and preparing final cost analyses after work is completed.
  • Coordinate the collection and organization of all course data for ICCB and N1year end reporting for noncredit programs and courses.
  • Work with Dean, Manager and Coordinators to set up third party organizations and academic year contracts, posting contract invoice amounts.
  • Oversee Administrative Assistant with the quarterly scheduling of Traffic Safety and Children First classes and facilitators as well as manage facilitator payroll for these programs.
  • Coordinate with Peoria County officials in developing and revising multiple-year contracts for Children First and Traffic Safety.
  • Maintain contract filing system, both online and physical files.
  • Work with Dean and Manager to oversee and analyze budgets for all noncredit programs.
  • Work with Dean, Manager and Coordinators to analyze enrollment, financials, cancellations, marketing and customer evaluation results to identify opportunities for improvement.
  • Work with Coordinators and Administrative Assistants to ensure customers are receiving all necessary paperwork and instructions.
  • Assist Coordinators in working with marketing services, developing printed materials, scheduling, website updates, press releases and any marketing of a general nature.
  • Work with Coordinators and Administrative Assistants to maintain department standard operating procedures.
  • Perform related duties as required.
